THE ACCOUNTABILITIES:

  • Coordinating with the interprofessional team to book initial and follow-up appointments related to the program
  • Supporting onboarding and offboarding processes for clients
  • Managing referral workflows and outreach to internal and external providers
  • Responding to inquiries regarding appointment bookings and program details
  • Handling emails and phone calls for the program within the Live Well Client Care Team
  • Collaborating with clinic staff and stakeholders to ensure exceptional service delivery
  • Assisting with documentation, scheduling, and other administrative tasks to support program operations
  • Contributing to process improvements and feedback loops with product and operations teams

THE REQUIREMENTS:

  • 1-2 years Medical Office experience
  • Medical Office Administration diploma
  • Excellent written, verbal and electronic communication skills (French fluency is an asset)
  • Intermediate level in MS Word, Excel, and Outlook
  • Prior switchboard or reception experience is an asset
  • Exceptional client service skills
  • Sound knowledge of medical terminology and laboratory results
    There is no face-to-face patient contact in this role; the primary interaction with patients is through the telephone or by e-mail so the successful applicant must have similar experience. The role is well suited to candidates who have demonstrated the ability to thrive in a changing environment, have excellent organizational skills, an ability to prioritize and work independently and have experience working with multi-disciplinary teams including nurses and physicians.
    This role is primarily Monday through Friday 8:00am-4:30pm, with flexibility to support based on business needs. The position will be mostly remote with occasional needs to come into the office for training and team meetings/events.

Responsibilities

The ideal candidate is an experienced Medical Coordinator who possesses excellent communication and client service skills. This role will support the launch and day-to-day operations of a new genetics program focused on cancer detection and will support expansion of the program across our affiliate clinics. The coordinator will play a key role in operationalizing this innovative offering in collaboration with stakeholders and product teams, while managing administrative responsibilities to ensure seamless program delivery.
