OPPORTUNITY

MacEwan University is seeking a Coordinator for a full-time continuing opportunity with the Ukrainian Resource and Development Centre.
Reporting to the Director of URDC, the Coordinator, you will be responsible for providing comprehensive administrative support to the Director, as well as the Kule Chair and the Chair of International Health, as needed. The Coordinator, URDC will contribute to educational initiatives, information sessions and campaigns about Ukraine to faculty, staff, students, and outside community, and promote projects to strengthen MacEwan’s connection to Ukraine. The Coordinator, URDC will prepare briefings and other materials, conduct translations, facilitate and organize events.

Key responsibilities include:

  • Managing travel arrangements, hotel accommodations, transportation, registration, and itineraries related to conferences and events for visitors and internal staff;
  • Planning and coordinating meetings including: drafting meeting agendas, attending and participating in meetings, recording and distributing meeting minutes, following up on action items;
  • Managing Centre’s social media accounts, implementing strategies and analyzing engagement data;
  • Coordinate annual projects (eg URDC awards program, newsletters, Gene Zwozdesky Artist in Residence program);
  • Conducting translations: English-Ukrainian and Ukrainian-English, written and oral;
  • Planning, organizing and coordinating various annual and special events for URDC (eg. liaises with guest speakers, books rooms, works with Conference Services, recruits and provides direction to volunteers as required, collaborates with community and University departments);
  • Preparing budget support documents to track expenses on various projects; and
  • Obtaining quotes for goods and services; liaising with suppliers, departments, and external vendors.

SKILLS

You will have:

  • Strong communication (written, verbal, and interpersonal) skills;Strong Ukrainian language skills

    • translation to and from Ukrainian is part of this position’s responsibility;

    • Attention to detail;
    • Must posses sound judgment, diplomacy, and the ability to foster and maintain positive, collegial relationships with a variety of internal and external stakeholders;
    • The ability to exercise initiative, work independently, and manage multiple priorities and prioritize tasks with minimal supervision;
    • Excellent organizational and time management skills;
    • Demonstrated ability to problem-solve, assess situations, apply good judgment and discretion, and handle confidential information; and
    • The ability to analyze information and process, and to apply critical thinking skills while working in a self-directed manner.

    QUALIFICATIONS

    • A minimum of a Diploma in a related field.
    • A minimum of 3-4 years of progressively responsible and diversified administrative experience.
    • Direct experience in a post-secondary or related public sector environment is preferred.
    • Experience and proficiency using Microsoft Office including Outlook, Excel, Word, PowerPoint, Google suite of applications, etc.
    • Experience working with PeopleSoft is an asset.
    • An equivalent combination of education and experience may be considered.
