JOB SUMMARY

Under the direct supervision of the Director of Track and Field, the Coordinator of Track and Field Operations is responsible for the comprehensive coordination and execution of all non-coaching aspects of the NCAA Division I Track and Field program. This position serves as the central point of contact for administrative operations, ensuring effective planning, organization, and communication across team logistics, travel, compliance, video and data analytics, equipment, and budget support. The role works closely with departmental units to enhance the student-athlete experience, uphold institutional and NCAA standards, and contribute to program visibility, efficiency, and growth through strategic revenue-generating initiatives and external engagement.

KNOWLEDGE SKILLS AND ABILITIES

The ideal candidate possesses in-depth knowledge of track and field and demonstrates a strong grasp of team operations, including budget management and administrative processes. They are adept at independently resolving complex issues using sound judgment and have a working knowledge of NCAA, conference, national, and university regulations, enabling them to make informed recommendations. With excellent analytical and organizational skills, they effectively manage operational needs within time and budget constraints. Their communication and interpersonal abilities allow them to produce clear documentation and collaborate with a wide range of internal and external stakeholders. Technologically proficient, they utilize relevant administrative tools to enhance efficiency. The candidate works cooperatively with coaches, staff, faculty, students, and community members, and consistently demonstrates professionalism and inclusivity when engaging with individuals from diverse backgrounds.

EDUCATION AND EXPERIENCE

  • Equivalent to three years of administrative support experience required.
  • Collegiate track and field experience preferred.

PHYSICAL SUMMARY

  • Light work - Job involves some lifting of medium weight objects (10-20 pounds) and/or 10% - 20% of the job involves standing or walking.
Responsibilities
  • Coordinate all administrative functions for track and field program, supporting the head coach through efficient management of operations, logistics, compliance, and team services.
  • Responsible for all aspects of team travel, including booking flights, buses, hotels, team meals, transportation logistics, practice facilities, and managing per diem distribution and reconciliation of expenditures.
  • Responsible for managing the team relations and community engagement initiatives.
  • Responsible for facilitating the ordering, distribution, and organization of all track team apparel and equipment.
  • Collaborate with the Athletics Development Office to identify fundraising opportunities and support donor engagement strategies specific to the track program.
