JOB SUMMARY

The Coordinator of Events serves as a dynamic leader responsible for the strategic planning, coordination, and execution of a wide range of university events, including athletic competitions, commencements, third-party engagements, and campus-wide functions. This role oversees daily operations across UWG¿s athletic facilities, including The Coliseum and the Athletics Complex, ensuring seamless event delivery through proactive leadership and collaboration. Acting as a key liaison between the university and external vendors, the coordinator leads planning meetings, negotiates service agreements, and ensures compliance with safety protocols and university policies. A central figure in student engagement, this position supervises and mentors a diverse student team, fostering a culture of accountability, professionalism, and service excellence. With a strong emphasis on client satisfaction and operational efficiency, the coordinator prepares detailed event estimates, manages facility usage agreements, and analyzes post-event performance metrics. This role demands a hands-on leader who thrives in a fast-paced, team-oriented environment and is committed to delivering exceptional experiences for all event stakeholders.

REQUIRED QUALIFICATIONS

Bachelor’s Degree in Sport Management and 1-2 years of facility and event management experience.

PREFERRED QUALIFICATIONS

Master’s Degree in Sport Management and 3-5 years of facility and event management experience.

KNOWLEDGE, SKILLS, & ABILITIES

Abilities: Ability to work in a dynamic, team environment. Ability to adjust to change and diverse responsibilities and the ability to take directions and communicate effectively. Must be able to lead a team of students to setup, breakdown, and provide staffing coverage for all event needs. Responsible for providing estimates and final invoices to clients. Failure to produce a quality experience can result in injuries and reputational damage to the university. Must be able to work nights and weekends and be on call for emergency situations. Work will be performed both indoors and outdoors, including the heat, cold, and rain/snow. Will be required to be golf cart/university vehicle trained. Knowledge: Strong leadership communication and customer service skills. Must be able to lead a team of students to setup, breakdown, and provide staffing coverage for all event needs. Responsible for providing estimates and final invoices to clients. Failure to produce a quality experience can result in injuries and reputational damage to the university. Will be required to walk, stoop, and do manual labor. May be required to work extended work hours (i.e. 12+ hours) across multiple sequential days. Skills: Willingness to work early morning, late-night, and weekend shifts depending upon event schedule. Strong communication, customer service skills, and ability to work with students, faculty, staff, and community members.

Responsibilities

Event Management: Athletics Events & Game Operations Collaborate with coaches, staff and campus partners to effectively administer all aspects of game operations for select NCAA Division I sports, as assigned by the Assistant AD for Facilities & Events. Serves as the liaison and point of contact between the venue, game officials and visiting teams to ensure all needs and requirements are met. Oversee the setup and breakdown for all events and coordinate any external services that may be required; including but not limited to, Security, Parking, Concessions, Custodial, Merchandise, Technology, etc. in conjunction with campus partners or outside vendors. Assist with External Events & Rentals in the planning, scheduling and management of non-athletic events that use UWG Athletics Facilities, including University and community events, camps, clinics and third-party rentals, as assigned by the Assistant AD for Facilities & Events. Collaborate with third-party/external representatives to ensure proper event execution. Manage the day-of operations and serve as the point of contact during the full duration of the event - pre-event, during the event, and postevent. Work with Athletics Business Office and campus partners to ensure quotes, facility use agreements, invoices, payments and other documentation requests are communicated, distributed and received within appropriate timeframes.
Facilities Management: Assist in the oversight and operation of all Athletics Facilities, including regular communication with the Office of Facilities Development & Sustainability to ensure that any maintenance needs are reported and completed. Perform routine walkthroughs to ensure general upkeep, security and cleanliness of all facilities is maintained, including oversight of scoreboards, lighting, fences, gates, windscreens, playing equipment, etc. Maintain the master calendar/schedule for all facilities and events, including but not limited to games, practices, camps, clinics, University events and third-party rentals. Assist in the establishment of operational procedures for the use of facilities. Assist in the oversight of the fleet vehicle program.
Staffing & Supervision: Directly responsible for the hiring, scheduling and supervision of graduate assistants, interns, student assistants and volunteers. Ensure proper staffing for all internal and external events is maintained and all workers receive proper training. Oversee the submission of bi-weekly timesheetsand payroll processing; ensuring accuracy of timekeeping records for all supervised employees.
