Position Title: Coordinator, Office & Registration Reports To: Manager, Community Engagement, CNIB Lake Joe I. Scope and Summary of Primary Responsibilities The Coordinator, Office & Registration will work with the Manager, Community Engagement, CNIB Lake Joe to support the day-to-day operation of the camp office, with a focus on delivery of the best guest experience. This position will work with the management team to build upon and maintain the highest service standards in all guest communication prior to, during and post visit. II. Essential Functions The position entails, but is not limited to the following general responsibilities: * Act as a point of contact for guests at Reception in the Welcome Centre. * Oversee the arrivals and departures process for guests, which includes tracking room keys, printing out of cabin/rooming lists, updating and maintaining emergency lists, and managing the phone on arrival and departure days to ensure prompt communication. * Assist guests in other areas of the camp, which include dining room duties (i.e., setting tables, serving meals, clearing plates, taking on the role of a Meal Lead, etc.). * Assist with orientation tours for guests and visitors where necessary. * Assist with the monitoring of general email inbox; responding to and/or flag emails for Camp Office & Registration Coordinator. * Assist with checking voicemails and answering phone calls providing friendly customer service and forward messages to the appropriate staff. * Aid in handling guest enquiries and feedback. Resolve issues when possible. Document information for tracking purposes and pass along pressing information immediately to the Camp Office & Registration Coordinator. * Support guests with application process; provide information about programs, complete registrations over the phone with guests. * Manage inflow of Lost & Found items. Washing items after guests leave site and storing away. * Perform general office duties: data entry, filing, photocopying, etc. * Other duties as assigned. III. Qualifications Knowledge and Skill Requirements * Strong interpersonal skills, including patience and communication. * Proficient user of Microsoft Office and Office 365 including word processing and experience working in a database environment including queries. * Experience working in an office setting is an asset. * Experience using a POS (point of sale system), an asset. * Experience using SQUARE tools, an asset. * Knowledge of CampBrain software, an asset. * Excellent customer service skills and the ability to multitask. * Planning, organization and time management skills. * Current (within 6 months of start date) Vulnerable Sector Police Record Check. * Current Standard First Aid and CPR-C. Experience and Education * Enrolled in a recognized Business Certificate Program, or equivalent job-related experience. * Administrative and operational experience an asset. Work Environment * Respects the importance of confidential information while effectively functioning as a team member or working independently. * This position may require the ability to work occasional overtime/flex time. * This position may have to deal with difficult situations or people. * Ability to work flexible hours in a dynamic and busy environment, with frequent interruptions. * Must reside at CNIB Lake Joe during operational season and be willing to share accommodations with other staff member.
