Description Coordinator Office Assistant (In-Office) Location: Plainville, MA Schedule: Monday – Friday | 9:00 AM – 3:00 PM (30 hours/week) Reports To: Vice President of Business Operations / Regional Supervisor Position Summary Prime Home Health and Companion Care is seeking a highly organized, proactive, and team-oriented Coordinator Office Assistant to support our Plainville office. This in-office position plays a dual role: providing administrative and operational support to the office while managing a small participant caseload. The ideal candidate is detail-oriented, professional, and comfortable balancing front-office responsibilities with service coordination, HR support, and compliance tasks. This role is essential in maintaining workflow efficiency, regulatory compliance, and positive communication between caregivers, participants, and office leadership. Core Responsibilities Office & Administrative Support Serve as the primary in-office point of contact during scheduled hours Answer and direct phone calls in a professional and timely manner Support scheduling coverage needs in collaboration with coordinators Maintain organized office files (digital and physical) Assist with data entry, documentation tracking, and system updates Monitor and respond to general office emails as directed Support preparation of reports, audits, and documentation requests Participant Coordination (Small Caseload) Manage a small caseload of HHA/Companion/ISCH participants Maintain communication with participants, families, and case managers Coordinate caregiver assignments and ensure coverage continuity Monitor authorizations and service utilization Ensure timely and compliant note submission and documentation Address participant concerns in a professional and solution-focused manner HR & Compliance Support Assist with caregiver onboarding tasks (document tracking, reminders, file completion) Monitor caregiver compliance requirements (CPR, TB, physicals, licenses, etc.) Track expiring credentials and notify caregivers/supervisors proactively Support new hire orientation preparation and follow-up Assist with audit preparation and internal compliance reviews Maintain confidentiality of all employee and participant information Requirements Qualifications Prior administrative or healthcare office experience preferred Experience in home health, human services, or scheduling strongly preferred Strong organizational and multitasking skills Ability to manage competing priorities with professionalism Proficient in Microsoft Office and database systems Strong written and verbal communication skills Ability to maintain confidentiality (HIPAA compliance required) Bilingual (English/Spanish) preferred but not required Key Competencies Detail-oriented and process-driven Calm under pressure and solution-focused Strong follow-through and accountability Professional and team-collaborative Comfortable balancing administrative work with participant support Why Join Prime?
