JOB SUMMARY

Responsible for coordinating all NHP procurement activities of the NHP Quarantine Services sites. Interact directly and indirectly with the Center of Disease Control (CDC) on animal import matters. Organize and arrange import and delivery of non-human primates, including extensive interaction with regulatory agencies including CDC, United States Department of Agriculture (USDA) and United States Fish and Wildlife Service (USFWS), as well as customs brokers, transporters, and quarantine sites’ contacts.

JOB QUALIFICATIONS

Education: Associates degree or equivalent.
Experience: Five or more years’ experience in procurement and import/export processes. Experience interacting with regulatory agencies (i.e.: CDC, USDA, and USFWS).
An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
Other: Knowledge of procedures, guidelines, and regulations governing import/domestic as mandated by applicable regulatory agencies (i.e.: CDC, USDA, FDA, EPA, and US Fish & Wildlife). Effective written and verbal communication skills. Ability to handle multiple projects, prioritize work and meet deadlines. Proficiency in the use of standard software. Demonstrated ability to interact and communicate effectively in a global environment. Negotiation and strong interpersonal communication skills required.

Responsibilities
  • Ensure day-to-day smooth operations of the logistics for imports and distribution of animals, primarily nonhuman primates (NHPs).
  • Assign transport vendors to ensure the requested delivery dates requested are met in an operationally effective manner.
  • Assist with tracking North America Quarantine (NAQ) Shipping Sites to schedule transportation for all NAQ sites.
  • Responsible for booking ground transportation for EU and UK.
  • Receive and review all regulatory documents (govt. issued permits, import documents, etc.) associated with import and domestic animals to ensure accuracy and completeness.
  • Perform quality control and assist with monitoring internal processing of paperwork to ensure accuracy and completeness as it relates to regulatory compliance.
  • Initiate communication and work directly with the Point of Contact (POC) at the CDC relaying any changes related to the imports.
  • Assist with managing the CDC and USDA audit folders for all quarantine sites.
  • Assist with serving as the POC for imports from departure from origin country to arrival at the quarantine sites.
  • Assist with serving as the liaison between CRL staff and the broker to ensure original CITES permits are delivered to the messenger.
  • Communicate via email to quarantine sites the delivery dates and monitor through communication with the transporter to include adjustments in arrival time and relaying the information to the site POC.
  • Assist with updating the Master US Import Schedule to include adding the Batch number, the CDC Unique ID number, PO number, and attaching quotes and POs to the schedule.
  • Manage tracking system for complaints regarding transportation service and provide monthly report to team leader.
  • Responsible for researching invoice queries from ICOE (Inventory Centers of Excellence) and transporters.
  • Responsible for maintaining the NHP Import CITES Discrepancies Smartsheet.
  • May assist with investigation and resolution of error or unforeseen challenge including but limited to transporter availability or of import incidents.
  • Document concerns or discrepancies relating to import/domestic animal supply issues.Assist with writing, lead in writing and updating Business Operating Procedures (BOPs) related to imports or transportation.
  • Assist with placing (BOPs) on M-Files (document depository) and updating as needed.
  • Initiate or support first line problem resolution with suppliers, brokers, transporters, and government agencies.
  • Continually build awareness of and support for opportunities to improve and innovate work processes and outcomes.
    The pay range for this position is $32.00-36.00/hr.
