QUALIFICATIONS:

  • Post-secondary degree in a related field; experience with art and design education or creative practice an asset
  • A minimum of three (3) years of experience in a program coordination role, preferably in a post-secondary educational setting; experience working in a university writing centre or student academic success unit preferred
  • Understanding of diverse student needs and experience responding and providing information to students in distress
  • Understanding of the barriers experienced by multilingual students in post-secondary education; multilingualism is considered an asset
  • Demonstrated experience building relationships and collaborative partnerships across institutional and community contexts
  • Excellent organizational skills with exceptional attention to detail and ability to respond effectively to multiple and changing priorities on a day-to-day basis; project management experience and training an asset
  • Strong oral and written communication skills and experience writing and communicating with different audiences (e.g., faculty, staff, students)
  • Demonstrated ability to take initiative and work both independently and collaboratively in a team environment
  • Excellent problem-solving skills with demonstrated ability to develop effective administrative systems and processes in a team-based environment
  • Demonstrated ability to exercise tact, good judgment, diplomacy and confidentiality
  • Demonstrated commitment to the principles and practices of equity, accessibility and inclusion, and experience promoting a respectful work and learning environment for students, faculty and staff
  • Strong computer skills with knowledge of Microsoft 365 applications; knowledge of Canvas learning management system and Adobe Creative Cloud applications an asset
  • Flexibility to adjust hours and location of work to support programs and events outside of regular office hours and location
    Compensation: OPSEU Unit 1, Appendix A, Grade 4; $31.59 to $41.52 per hour
    Hours of Work: Monday to Friday, for a total of 35 hours per week. This is a temporary contract expected to continue until May 19, 2025
    Mode of Work: This position is eligible for hybrid work arrangements; however, a minimum of two to three days per week of on campus work is required with flexibility to adjust the days and times of work on campus to meet programming needs.

Responsibilities
  • In consultation with the Manager, coordinate the development of an annual plan of student programs and activities
  • Liaise with and build sustained relationships with the Faculty offices, School of Graduate Studies and other units across the University to promote collaboration and strengthen inter-departmental communication, information-sharing and referrals; disseminate information and updates across the team as relevant
  • Coordinate and plan a variety of undergraduate and graduate student academic support programs (e.g., Orientation, workshops, tutoring program, events) in face-to-face, hybrid and online formats, including scheduling, promotion, registration, logistics and hospitality; document, file and disseminate program recordings and materials
  • Participate in reflective practice and professional learning activities, individually and in teams, to integrate equity and sustainability principles across relevant programs, processes and practices
  • Work with the Lead, Co-Curricular and Peer Learning Programs to set up the tutoring schedule each term; liaise with tutoring program staff to maintain the tutoring schedule on a day-to-day basis, monitoring service levels and working with the Administrative Assistant to manage waitlists
  • In consultation with the Lead, Co-Curricular and Peer Learning Programs, coordinate student accommodation requests, liaising with Student Accessibility Services (SAS) as required
  • Schedule, plan and coordinate academic integrity workshops and coordinate related documentation and communication requirements
  • Coordinate outreach initiatives, including the preparation of outreach materials and displays; represent the Centre at special events on and off campus, as required
  • Work with the Manager to develop an annual communications and promotional strategy to build campus-wide awareness of student programs; coordinate the development and implementation of promotional and communications strategies, collaborating with relevant staff to align communication and promotional strategies and timelines where appropriate
  • Collaborate with the Evaluation and Communications Specialist to implement program monitoring and evaluation processes across student programs to advance evidence-informed program development and decision-making; support the preparation and dissemination of relevant reports and presentations as required
  • Provide program and service information and resources, referring inquiries to the Manager and program staff as required
  • Coordinate the annual review and maintenance of student resources; support the development and preparation of new resources in response to emerging student needs and interests
  • Establish and maintain administrative systems and processes and provide administrative and operational support to the staff team, including scheduling team meetings, establishing and communicating timelines, and creating and maintaining documentation and filing systems
  • Develop promotion and communications content and maintain the portfolio’s digital presence across multiple platforms (website, social media, etc.); coordinate content development and manage related timelines and workflows, collaborating with relevant staff to develop subject matter content as required
  • Assist the Manager with portfolio-specific budget tracking; coordinate the processing and tracking of invoices, expense reimbursements, purchasing card statements, and other related budget items, liaising with Finance as required
  • Support the Manager with ad-hoc working groups, including scheduling, notetaking and preparation of meeting materials
  • In consultation with the Manager, hire, train and supervise the day-to-day work of Student Monitors to support student-facing events and programming and project work, liaising with relevant staff as required
  • Assist the Director, Teaching & Learning and Manager in other related duties contributing to the successful operation of the Centre for Learning & Teaching
