QUALIFICATIONS

  • Diploma or degree in Business, Sports Management, Marketing, or related field
  • 1–3 years’ experience in sports marketing, administration, sales, or related areas (asset)
  • Experience with event planning, client service, and digital content creation in athletic or recreation settings
  • Knowledge of sponsorship, communications, and project coordination
  • Familiarity with office administration, including scheduling, communications, and budget tracking
  • Proficient in Canva, Google Workspace, social media platforms, and CMS

Responsibilities

Varsity Operations & Event Execution (25%)

  • Coordinate all logistics for varsity home events (primarily basketball and volleyball), including venue setup, signage, audio/visuals, and ceremonial protocols.
  • Hire, train, schedule, and supervise part-time event staff and student volunteers.
  • Liaise with coaches to confirm team needs, locker room access, and post-game protocols.
  • Coordinate and book varsity travel (transportation, accommodations, meals).
  • Oversee and execute season ticket and single-game ticket sales, including setup and customer service.
  • Drive ticketing strategies, manage game day revenue, attendance tracking, and post-event reporting.
  • Provide support for other events (facility rentals, community, and internal university events).
  • Complete all sports information duties including OUA/USports reporting, box scores, and game film uploads.

Marketing, Communications & Social Media (25%)

  • Create and manage content calendars for all social media platforms.
  • Design promotional graphics using Canva and coordinate in-game promotions.
  • Manage all updates to Thunderwolves.ca, including rosters, schedules, and promotions.
  • Fulfill duties traditionally associated with a Sports Information Coordinator (recaps, highlights, athlete features).
  • Monitor platform analytics and adjust strategy accordingly.
  • Support branding consistency across department campaigns and digital outputs.

Administrative Support & Special Projects (25%)

  • Support department planning, wellness initiatives, and reporting.
  • Maintain documentation including sponsor contracts, event feedback, and training records.
  • Coordinate onboarding/training (Safe Sport, First Aid) for event staff.
  • Update University with accurate resources for athlete, coach, and admin use.
  • Plan and execute Varsity Athlete Orientation annually.
  • Contribute to policy reviews, strategic reporting, and project-based support.

Partnership Management (15%)

  • Assist in coordinating and activating corporate sponsorships.
  • Track and fulfill sponsor deliverables (signage, promotions, media).
  • Create fulfillment reports and prepare new/renewal proposals.
  • Liaise with printers, vendors, and suppliers for branded material.
  • Act as key contact for partner activations on game day.

Alumni & Community Engagement (10%)

  • Coordinate alumni communications and event invitations.
  • Organize reunions, Homecoming involvement, and ceremonial features.
  • Support donor stewardship and campaigns (Giving Day, Thank You initiatives).
  • Maintain alumni records and engagement tracking.
  • Represent Athletics at community events and partnerships as needed.
