The Coordinator, Workplace Community Experience, will provide administrative support and is responsible for maintaining a welcoming community experience for all staff and visitors at Start Early. This individual will serve as a receptionist for Start Early (1 North Dearborn) and is responsible for providing customer service to staff, external clients, and visitors. They will also provide project management and program support to the Chief Operating Officer, Senior Vice President of People & Culture and DEIB, and Operations Managing Director, as well as general support to other Start Early locations as needed. This role is on-site at 1 North Dearborn, M-Th 7:30 am-4 pm, and Fridays are remote 8 am-4 pm. Reporting to the Supervisor, Workplace Community Experience, you will: Welcome all guests and visitors to 1 North Dearborn and ensure front desk protocol and building policies are followed. Manage Operations procurement, including processing and coding purchases in the electronic purchasing system, ensuring adherence to Start Early protocols and procedures, and serving as the liaison to the Start Early Purchasing and Accounts Payable departments. Support Operations initiatives as assigned, partnering with Project Management Office (PMO) staff, Operations leadership, and content experts. Develops and maintains a deep understanding of the key tasks, milestones, and deliverables on assigned projects. Professionally administers all incoming calls, redirecting accordingly and taking messages as needed. Ensures the processing of all incoming and outgoing mail and ensures all mail (including packages and express mailings) is distributed to the proper person and/or department. Assist with photocopying, laminating, creating flyers, faxing, filing, collating, and data entry as needed. Ensure computers, copiers, fax machines, and other office equipment are in good working condition and troubleshoot issues. Communicate with building management to submit work orders, request security badges, and reserve rooms. Coordinate off-site archiving of organization documents. Keep the kitchen and copy stations stocked, including taking regular inventory and placing orders as needed. Follow opening and closing procedures daily, including turning on office lights, making/dumping coffee, and running/emptying dishwashers. Provides back-up support to the Workplace Community Experience Supervisor as needed and performs all other duties as assigned. Requirements Associate’s or bachelor’s degree or equivalent experience. Minimum of two to four years of experience in an administrative support position, including experience providing reception/phones support, working with computers in a Microsoft Office environment, and using basic office equipment. Ability to be creative and proactive in assessing and managing multiple tasks and addressing shifting priorities, and exercise independent judgment in repeated and routine responsibilities, and organize and accomplish assignments in a timely manner with superior attention to detail. Proficient with computer applications - thorough understanding of Microsoft Outlook, Word, Excel, and PowerPoint. Proficient and comfortable with web-based applications and experience using general business office equipment. Must be well-organized and detail-oriented. Ability to work in a team environment and with diverse staff and external clientele. Excellent verbal (including professional telephone skills) and written communication skills. Ability to develop new procedures and apply new technologies as needed. Ability to work as a cooperative and supportive team member. Ability to exercise discretion in handling confidential information and materials. Ability to communicate and respond in a manner that consistently demonstrates respect and appreciation. Ability to lift up to 50 pounds and move around the office as needed. Base Annual Salary: $51,825-$55,000 As of the time of this posting, this is the expected base annual salary range. The base annual salary will be based on a wide range of factors, including skills, qualifications, experience, as well as business needs and limitations.
