Position Summary: The Executive Assistant will provide high-level administrative support to the COO and senior leadership team. This role requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a dynamic, healthcare-driven environment. The ideal candidate will be proactive, resourceful, and able to anticipate the needs of executives while ensuring smooth day-to-day operations. Key Responsibilities: · Manage complex calendars, including scheduling meetings, appointments, travel, and conferences for the CEO and senior executives. · Prepare and organize correspondence, reports, presentations, and other documents as needed. · Coordinate internal and external communications, acting as a liaison between executives, staff, clients, and partners. · Handle confidential information with the highest degree of integrity and discretion. · Plan and support logistics for leadership meetings, board meetings, and special events, including agenda preparation, document distribution, and minute-taking. · Assist with expense reporting, invoice processing, and basic budget tracking. · Support project management activities and ensure timely follow-up on action items. · Conduct research and compile data to support executive decision-making. · Maintain and organize electronic and paper files for easy retrieval and compliance. · Perform additional administrative duties and special projects as assigned. Qualifications: · Bachelor’s degree or equivalent experience preferred. · 5+ years of executive administrative support, preferably in healthcare or a related industry. · Strong understanding of medical terminology, healthcare operations, or wound care is an advantage. · Takes initiative to learn about key systems and processes used in business processes and is able to anticipate needs of executives. · Excellent written and verbal communication skills. · Proven experience at document management and light revisions to contracts and agreements. · Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). · Exceptional time management, organizational, and problem-solving skills. · Ability to work independently, exercise sound judgment, and adapt to changing priorities. · High degree of professionalism, discretion, and confidentiality. · Positive attitude and commitment to delivering outstanding service.
