Description:
The Corporate Administration & Compliance Coordinator provides direct support to the Vice President of Corporate Administration, assisting in administrative operations, policy governance, compliance programs, and documentation management to ensure organizational alignment and readiness.
Key Responsibilities

Policy & Compliance Program Support

  • Maintain the corporate policy library, ensuring proper version control.
  • Establish and oversee an internal Policy Review Team, across Departments, to facilitate policy review and updates.
  • Establish and manage a recurring policy review process with assigned reviewers and deadlines.
  • Assist with formatting, drafting and updating company documentation and policies to meet internal standards and readiness expectations.
  • Serve on the ISO Team, coordinate review and maintenance of documented processes and policies, track updates, and ensure audit readiness.
  • Help manage and maintain company documentation including org charts, governance records, and internal policies for ISO compliance and internal publication.
  • Support the initiation, rollout and maintenance of corporate compliance programs, including ISO, CMMC/IT and Security, risk management, and export compliance.
  • Establish and manage a process/ team to review publicly posted corporate information (e.g., website, directories) for accuracy and compliance risk.
  • Create and deliver, or coordinate, internal training on corporate administrative and compliance initiatives.

Administrative & Operational Support

  • Assist in developing administrative process, systems, and forms to support efficient operations and compliance tracking across Corporate Administrative functions.
  • Create and maintain a Master calendar of renewals, reporting deadlines, and compliance requirements across Corporate Administration areas of responsibility (i.e., SBA Reporting, SAM reporting).
  • Serve as point of contact with legal to monitor dashboards for Federal and State Renewals and ensure timely submission.
  • Manage the main company phone line and voicemail system; route inquiries and ensure timely follow-up.
  • Monitor shared company inboxes and distribute to appropriate departments or points of contact.
  • Maintain vendor accounts for Corporate Administration (i.e., phone, internet, software, licensing, etc.).
  • Provide billing support, set up and maintain credit card payments for everything under Corporate Admin (i.e., website services, communication services, subscriptions).
  • Pull invoices and receipts and reconcile the monthly corporate credit card statement.

Requirements:

  • Bachelor’s degree in business administration, Legal Studies, or a related field
  • 2+ years of experience in corporate compliance, legal support, or administrative coordination
  • Strong understanding of corporate governance, regulatory filings, and compliance requirements
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Proficient in Microsoft Office Suite and document management systems
  • Strong written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Familiarity with federal, state, and local regulatory standards a plus
  • Experience supporting audits or internal compliance reviews preferred
