CORPORATE ADMINISTRATIVE ASSISTANT (5 YEARS EXPERIENCE)
Position: Corporate Administrative Assistant (5 years experience)
Posting End Date: Open until filled

Anticipated Start Date: (March 2025)
FTE: 1.0 Full-Time MAT Leave Term (18 months)
Anticipated Shift: Days (with some flex hours as required)
Daily Hours Worked: 0800-1630 (8:00am – 4:30pm) – (7.5 paid hours with 1-hour unpaid lunch)
Annual Base Hours: 1950
Salary/Benefits: $25.534 to $30.326 + Potential for Annual Bonus (performance based) & Benefits (e.g. Parking, Dental, Life Insurance, Pension, Paid Vacation, Sick)
EXPERIENCE
- Five (5) or more years of directly related experience in providing executive assistant/administrative assistant support in a medium sized business, preferably in a health care environment or similar type of organization/institution;
- Previous experience providing administrative support to Board Committees and taking minutes for committees and meetings is an asset.
EDUCATION (DEGREE/DIPLOMA/CERTIFICATE)
· Grade XII Manitoba Standards;
· Successful completion of post-secondary Certificate in Business Administration, Secretarial/ Administrative Assistant Program/Executive Assistant program;
· A combination of other education and/or work experience may be considered.
QUALIFICATIONS AND SKILLS
· Confidence and ability to function as a self-starter, demonstrating excellent communication and interpersonal skills, ensuring confidentiality on all matters, and consulting when there is a lack of precedent and the ability to independently complete or ensure completion of detailed corporate administrative services
· Proficiency in use of the Microsoft Office Suite of applications including Word, Excel, PowerPoint, Outlook, etc.
· Keyboarding skills/accuracy with typing speeds of 60+ w.p.m.
· Knowledge and application of Personal Health Information Act (PHIA)
· Knowledge and utilization of Electronic Medical Records (Preferably Accuro) to support administrative processes (audits, addresses, contacts, medical records, communications, etc.)
· Application of methods, techniques and procedures used in the planning, development and delivery of corporate administrative services
· Knowledge and application of relevant Workplace Safety and Health responsibilities for the Clinic
· Application of significant organizational skills with the ability to appropriately plan and prioritize the workload and maintain all key corporate deadlines on behalf of the clinic
· Ability to establish and maintain an efficient office, including both electronic and hardcopy filing systems
· Acting as a liaison and first point of contact with internal and external stakeholders, vendors, and Clinic physicians/staff, interacting with them in a professional and timely manner
· Ability to develop, maintain and update a variety of databases including: data collection and entry, assisting with analysis and organization of information and assisting with preparation of reports
· Ability to maintain composure in high stress, time-sensitive situations within a changing organizational environment
· Application of analytical skills
