Corporate Affairs & Business Operations Associate Fourth Power is developing and commercializing the lowest cost energy storage technology on the market to enable the utility grid to operate 24/7/365 on renewable energy. Our batteries store heat in low-cost carbon blocks at up to 2400 degrees Celsius – half the temperature of the sun. The batteries then convert this heat back to electricity using thermophotovoltaics (TPV) on demand. Job Description We are seeking a detail-oriented, proactive and flexible person to be a coordinator extraordinaire in an administrative function that supports the executive management team. Your Role: “Ambassador of First Impressions” Assist with coordinating the interview process for new positions Coordinate onboarding logistics for new employees by ensuring timely completion of key onboarding checklist to-dos, such as working with external IT group for employee email, computer and software; desk assignment, necessary supplies and furniture; and other activities to ensure a great first day experience. Own communications and support logistics for onsite visitors and tours, ensuring they have an exceptional first impression of our team and company. Coordinate and rally team for VIP visits and photo/video opportunities, ensuring we put our best foot forward. Ensure NDAs with visitors, vendors, customers and other strategic partners (as necessary) are issued and filed. “Curator of Company Culture” Plan, procure and coordinate company snacks, bi-weekly lunches, Summer ice cream Friday and other company events. Design, order and manage inventory of company swag. Support management team in organizing employee review processes Coordinate PTO requests for all employees via online tracking system “Master of Special Projects” Support ad hoc projects as needed across the company, which could include: Organizing and centralizing file storage & sharing system Organize and centralize a system for shared meeting agendas and notes Keep company website up to date by posting latest news and media coverage Support executive team to stay organized and on top of the status and schedules for key projects and initiatives (e.g., grant and patent applications) “Chaos Coordinator” Calendar scheduling, in conjunction with AI tool, for the Chief Executive and Chief Technologist Manage travel plans and timely filing of expenses and receipts related to travel for Chief Executive and Chief Technologist Ensure the company has centralized access to the latest-and-greatest templates, org chart, company policies and other information. Maintain company business and legal records and files. Monitor administrative emails. Qualifications: Available to be onsite at least 3 days per week Prefer at least 3 years of relevant experience Business Degree (2 year or 4 year) High level of reliability, professionalism and discretion Exceptional organizational and time-management skills, with a strong ability to prioritize tasks and manage multiple responsibilities. Ability to work under deadlines and to accommodate last-minute changes Proactive and creative problem-solving skills and an anticipatory mindset Highly detail oriented amidst a dynamic environment with lots of moving pieces Can-do attitude, willing to “roll with the punches” and a sense of humor Excellent written and verbal communication skills, with the ability to craft clear, concise, and professional correspondence. Advanced proficiency in MS Office Suite and Project Management software such as Smartsheet, with an ability and desire to learn new technology. (Bonus points for familiarity with software such as Lucid, Ashby, and social/video sharing platforms!)
