PROFILE

Our Vancouver office is seeking an intermediate level, energetic, detail oriented, highly organized individual to join our fast-pace Corporate Services department. As an integral member of the Corporate Services team, the incumbent will be required to provide corporate record services to professionals and paralegals, including maintaining minute books and conducting searches.

QUALIFICATIONS

• Two years’ related work experience;
• Aptitude to take care of clients’ needs in a professional and courteous manner;
• Produce a high quality and quantity of work products under tight timelines;
• Handle stress in a business-appropriate manner;
• Ability to use discretion when dealing with confidential information;
• Strong problem-solving skills, including the ability to set priorities while dealing with conflicting and emerging priorities;
• Excellent coordination and organizational skills;
• Capacity to work independently, as well as in a team environment;
• Excellent interpersonal skills with the ability to work effectively with other staff and professionals;
• Strong written, oral and verbal communication skills;
• Excellent grammar and proofreading skills;
• Advanced knowledge of Microsoft Office Suite (proficient in Word, PowerPoint and Excel);
• Ability to multi-task within a fast-paced environment.

  The starting range for this role is $54,000 to $65,000. Starting salary will be determined based on an applicant’s individual skills, competencies and unique qualifications. Gowling WLG employees have the potential to exceed this range based on tenure and performance.

• Ensures the maintenance of the Corporate Services Department’s corporate files including updating minute books/record books, closing files, sending to off-site storage, and updating and maintaining inventory open corporate database.
• Assists with the locating of minute books, corporate seals, record books, share certificates, minute book papers, etc.
• Orders and distribute corporate supplies.
• Orders NUANS and preliminary searches, verify their accuracy, and forward to professionals, clerks, or legal assistants.
• May attend at Revenue Canada to obtain BN or GST numbers.
• Inputs data for Record Book Systems from instruction sheets or record books.
• Enters data, merge data, and print share certificates and instruct new assistants on same.
• Pulls minute books, corporate seals, original documents, etc. and prepare receipt to be forwarded to client or other law firm and update corporate database re same.
• Assists with projects as required by professionals or corporate law clerks.
• Other duties as assigned.
