Our client is a high-end design and web development agency based in Europe, known for its precision, aesthetics, and quality. The Founder works closely with an international team of designers, developers, and marketers to deliver sophisticated creative solutions for clients worldwide. They’re now seeking a German-speaking Creative Operations Manager with a strong background in design and marketing to act as the Founder’s right hand — blending operational structure with creative insight. The Role This is a hybrid strategic–operational role that combines executive support, team coordination, client communication, and creative understanding. You’ll ensure smooth day-to-day operations, align the team around key priorities, and uphold the creative and organizational standards the agency is known for. Part-Time to Full-Time (within 3 months) - 20hours/week to start Schedule: CET working hours Location: Remote Engagement: Independent Contractor Start Date: ASAP Monthly Rate: $1200-$2400 (20 hours/week, depending on level of experience) Key Responsibilities Executive & Team Management Act as the Founder’s right hand, managing schedules, priorities, and follow-ups. Lead internal check-ins, track deliverables, and ensure deadlines are met. Support and translate communication between German- and English-speaking staff. Onboard new team members and maintain clarity on roles, tools, and expectations. Operations & Workflow Oversee daily workflows across design, development, and marketing. Improve internal processes and documentation (SOPs, templates, project trackers). Coordinate client onboarding, handovers, and proposal processes. Ensure deadlines, quality standards, and communication protocols are consistently met. Marketing & Business Support Support the agency’s marketing funnel — leads, conversions, follow-ups, and reporting. Assist with social media updates, case studies, and portfolio materials. Prepare meeting notes, client updates, and marketing collateral. Help translate and localize German marketing materials for the English-speaking team. Creative Support Review design deliverables to ensure alignment with brand and quality standards. Provide creative feedback and direction when needed. Collaborate with designers to maintain consistent storytelling and presentation quality. Requirements 5+ years’ experience as an Executive Assistant, Operations, or Project Manager in a design, marketing, or creative agency. Strong understanding of marketing and creative workflows. Fluent in German and English (written and spoken). Excellent organizational and coordination skills across multiple teams and projects. Familiarity with tools like Notion, Asana, ClickUp, Slack, and Google Workspace. Confident, proactive communicator who anticipates needs and solves problems early. Deep appreciation for design aesthetics and creative production. Nice-to-Haves Design or marketing background (Adobe Suite, Figma, etc.). Experience managing multicultural or remote teams.
