JOB SUMMARY

Supporting Creative Services functional excellence by providing effective, smooth triage and management of creative and digital projects. Ensuring efficiency and productivity by management of systems, databases and processes for assigned Creative Services teams. A Creative Services Manager forges strong, collaborative, internal and external relationships and expands our bandwidth and specialist skills via careful procurement of freelance support to ensure projects are delivered on time and according to budget.

EXPERIENCE, SKILLS, AND QUALIFICATIONS

  • Educated to degree level or equivalent experience
  • Creative resource management experience within medical communications or a healthcare advertising related field
  • Proficiency in MS365, including Sharepoint, PowerPoint, Word, Outlook, and Adobe Acrobat, with a high level of competence in Excel for finance/budget tracking
  • Creative design or management experience and proficiency in current creative software packages advantageous
  • Ability to multitask and prioritize, with excellent time management and organizational skills
  • Ability to work independently and as part of a team
  • Ability to confidently and effectively interact and negotiate with a variety of stakeholders
  • Excellent written and verbal communication and interpersonal skills and the ability to communicate effectively across a variety of platforms
  • Knowledge and understanding of change management and/or ability to manage workflow systems and processes is desirable

Responsibilities
  • Coordinating resourcing requests, ensuring efficient and cost-effective use of available in-house resources and appropriate freelance use
  • Ensuring workflow and resource, freelance management and booking, and intercompany support are tracked accurately
  • Flagging budget issues/out of scope work to delivery teams and Senior Creative Services Director in a timely manner
  • Effectively coordinating resourcing for assigned business units, acting as a key point of contact for ad hoc requests and requests for additional support
  • Collaboration with other Creative Services management, Head of Creative Services, UK, Senior Creative Services Director and Team Leads to ensure appropriate allocation of skillsets and utilization, or escalation of issues in a timely manner
  • Maintaining awareness of team capacity and facilitating effective workflow planning by arranging or attending relevant resourcing or kick off meetings
  • Maintaining triage and scheduling systems, including keeping job briefs, deadlines, budgets, and other relevant information up to date
  • Liaising with freelancers, including checking their availability, sending clear and detailed project briefs, and maintaining positive working relationships
  • Keeping track of freelancer budgets, generating POs, and checking and approving invoices
  • Coordinating consistent and effective supplier management, including conducting appropriate risk assessments and due diligence
  • Maintaining creative freelancer relationships, including timely resolution of any quality concerns
  • Maintaining excellent relationships with account teams to ensure service levels remain optimal and services evolve in line with business needs
  • Supporting effective onboarding and integration of new starters, providing training on Central Services processes and standard operating procedures
  • Championing creative processes and acting as a source of information on these processes for colleagues
  • Identifying areas of improvement in Central Services processes and ways of working, and suggesting new initiatives to reduce inefficiencies and maximize billable time for revenue generating roles
  • Working closely with senior Central Services team members to implement and deliver new initiatives
  • Facilitating smooth two-way communication between Central Services and client-facing delivery teams
