FULL JOB DESCRIPTION

Tobin Law Office, located in Mesa, Arizona, at the corner of Country Club and Baseline, has an opening for an experienced Criminal Defense Paralegal or Administrative Legal Assistant. Our long-time legal assistant is moving out of state, creating this sole position.
In this role, you will work directly with Mr. Tobin on various criminal matters, primarily misdemeanors and some felonies. The ideal candidate will provide essential legal assistance and manage office operations, which include:
- Maintaining client files
- Answering a busy phone line for existing and prospective clients
- Processing and scheduling payments
- Managing a calendar of approximately 100 cases (mostly misdemeanors)
- Opening new files in both physical and digital formats
- Generating legal pleadings
- Communicating with clients and the courts
- Organizing physical documents and mail
Additionally, the candidate will communicate with the court, clients, and the attorney to effectively manage a busy misdemeanor calendar.
This position is ideal for someone seeking to work closer to home in the East Valley and who enjoys working independently. The office is a small boutique space, approximately 1,500 square feet, featuring a relaxed atmosphere with minimal supervision. The candidate will be at a large and comfortable reception desk in a spacious reception area that has large windows and plenty of natural light. The workspace is not busy; we typically hold only 3 to 6 in-person weekly meetings.
Mr. Tobin is often out of the office for court dates across the valley; the candidate will manage the office in his absence.
Bonus Pay: Mr. Tobin employs an additional part-time attorney who manages 30 extra cases for the Tobin Law Office. The average bonus pay for this overflow case management is approximately $850 monthly, totaling around $10,000 annually. This amount fluctuates monthly depending on the number of active cases.
Our office is honest, fair, respectful, communicative, and straightforward with clients. As a result, clients who engage our services tend to have the same disposition and treat us accordingly.
This is a full-time position, Monday to Friday. We observe all court-recognized holidays and provide flexible vacation time.
A minimum of two years’ experience in a private Arizona criminal law firm is required.
Responsibilities:
· Case management—Manage approximately 100 cases (mostly misdemeanors); maintain a high volume of paper and computer files in an organized, accurate, and efficient manner. Maintain a calendaring system with a weekly, comprehensive check to ensure no missed dates.

· Work closely with the attorney to ensure all cases receive attention and tasks are completed promptly.

  • Calendaring court dates and managing deadlines.
  • Preparing and filing legal documents in municipal, justice, and county courts.
  • Managing client files includes opening new files, closing completed files, working with physical and digital files, and working within our client management software, MyCase and Clio Grow.
  • Interacting with clients, court officials, prosecuting agencies, and law enforcement agencies.
  • Must be responsible, reliable, and maintain confidentiality.
  • Basic Assistance in trial preparation.
  • Preparing drafts of simple procedural motions and pleadings.
  • Prepare, edit, and/or modify pleadings as needed with proper attachments/exhibits.
  • File pleadings with the appropriate courts and correct filing methods.
  • Maintain a clean and organized workspace.
  • Answer a busy phone line of both existing clients and prospective clients.
  • Greet clients approximately 3 to 6 times per week for meetings.

Pay: $24 to $29 per hour (depending on experience)
Salary: $50k to $60k (depending on experience)
Bonus Pay: Approximately $10k per year ($850 per month)
