SUMMARY

Under the direct supervision of the Director/Principal and general direction of the Assistant Superintendent for CTE, and in accordance with established policies and procedures, the CTE Data, Enrollment and Events Coordinator performs a variety of tasks necessary for all CTE program enrollment, data reporting, compliance, and communication activities.
The CTE Data, Enrollment and Events Coordinator functions as the central point of contact for internal and external staff for key systems necessary for smooth operation of all CTE programs, including student enrollment/registration, Career Technical Education Information System (CTEIS) data management and coordination, event planning and coordination and general CTE marketing activities. The broad areas of responsibility fall into several categories: Reporting/Data Management, Student Enrollment/Scheduling, Department Marketing, and Event Planning.

EDUCATION, TRAINING & EXPERIENCE:

Required

  • Possession of a Bachelor’s degree in any major
  • Proficient in Microsoft Office Suite products
  • Proficient in Google Workspace

Desired

  • Possession of a Bachelor’s degree in education, business, IT, data systems, or a related field.
  • One (1) year or more experience working with school personnel, parents, students (K-12) and/or community agencies/groups.
  • One (1) year or more experience working with Career & Technical Education, data and reports, enrollment software, marketing, social media platforms.

  • Knowledge of career and technical education.
  • Knowledge data collection methods and techniques.
  • Knowledge of marketing and social media methods/systems.

Responsibilities

Data Management & Reporting

  • Coordinate and manage data entry into CTEIS for fall/spring course collections, staff/student data, follow-up surveys, early college reporting, work-based learning, credentials, and end-of-year completion data.
  • Develop, maintain, and analyze student data systems required for:
  • GEMS/CIP Self Review
  • Accuplacer Assessment and Placement
  • Student Enrollment data
  • Comprehensive Local Needs Assessment (CLNA)
  • Core Performance Indicators
  • CEPI Quality Reports
  • ERESA Strategic Plan and Data Outcomes

Enrollment Coordination

  • Coordinate enrollment and scheduling for Career Preparation Center (CPC) and Capital Regional Technical Early College (CRTEC) students.
  • Manage program marketing, enrollment and scheduling using tools such as Microsoft Office/365, Embark, and Google Workspace.

Event Planning & Community Engagement

  • Organize and support all CTE-related events, including:
  • Advisory committee meetings
  • Conferences
  • Student and parent orientations
  • School visitations
  • Awards nights
  • Enrollment sessions
  • Public relations and community engagement events

Communications & Marketing

  • Prepare written content for marketing programs and student enrollment.
  • Maintain CPC and CRTEC websites and social media platforms.
  • Collaborate with partners and the communications team to support public relations efforts.

Collaboration & Systems Support

  • Work collaboratively with instructional staff and administrators to:
  • Build capacity for data collection and analysis
  • Support instructional decision-making by providing data to support Multi-Tiered Systems of Support (MTSS) across instruction and interventions
  • Maintain consistent communication with instructional and support staff.
  • Ensure timely submission and accuracy of all required documentation and reports.
  • Promote career readiness with students, parents, and district partners.
  • Support students in transitioning from high school to college and/or the workforce.
  • Serve as a liaison between local school counselors and ERESA, including coordination of regular county-wide counselor meetings.

Additional Duties

  • Perform other duties as assigned in support of departmental and organizational goals.
