We are searching for a Custom Programs Coordinator to join IFSA. This role supports the global execution of IFSA custom programs through a combination of infrastructure coordination and program implementation. The Custom Program Coordinator contributes to proposal development, manages logistical coordination across departments, and ensures operational tasks are completed accurately and on time. Key areas of focus include task tracking, contract drafting, cross-department collaboration, and quality control throughout the program lifecycle. This role is critical to helping the Custom Programs team meet institutional partners’ needs with the goal of growing business opportunities and overall enrollment on IFSA custom and catalog programs.
It is critical that the incumbent in this position consistently conveys and represents the IFSA mission, vision and commitments (inclusive excellence, individualized learning, intercultural agility and enduring impact) as well as operating with a high degree of organization, precision and responsiveness.
This position works closely with Custom Programs, Institutional Engagement, Academic Programs, Global Operations, Student Engagement and IT.

In this position, your responsibilities would include:

  • Operate with a customer- and solutions-oriented mindset to quickly respond to internal and external requests.
  • Manage internal tracking tools and perform weekly audits in Salesforce and Planner to ensure program tasks and deadlines are accurately reflected.
  • Serve as the primary lead for developing and maintaining arrival guides.
  • Prepare first drafts of institutional agreements using standard templates.
  • Collaborate with other members of the Custom Programs Team to support timely DealHub proposal execution.
  • Participate in the development of proposals and itineraries for assigned programs.
  • Coordinate the implementation of assigned custom programs, maintaining timelines, communications, and logistics.
  • Track and follow up on incomplete documentation for accompanying faculty and their guests, providing backup to the other Custom Programs Coordinator.
  • Liaise with IT and internal departments to troubleshoot Portal or Salesforce-related issues.
  • Provide weekly status updates to the Custom Programs team.
  • Serve as liaison to Site Staff and internal departments to ensure program delivery aligns with partner expectations and proposal commitments.
  • Ensure quality service and timely follow-up for institutional partners, escalating complex issues or decisions to the Custom Programs Manager or Senior Director as needed.
  • Other duties and projects, as assigned

Requirements, Work Experience and Education

  • Bachelor’s degree required.
  • One to three years of professional work experience or proven track record in relationship and sales support activities. Desired experience includes: higher education, study abroad administration, educational sales, or other industry experience in relationship support.
  • Demonstrated project coordination and workflow management skills, with the ability to track multiple deadlines, prioritize tasks, and maintain clear documentation
  • Keen attention to detail, particularly for data entry, document formatting, and compliance-oriented tasks
  • Tech fluency and adaptability and openness in learning new platforms
  • Demonstrated ability to work independently with a proactive approach to problem-solving and follow-up, especially in asynchronous environments
  • Strong oral and written communication skills and mature approach to communication
  • Ability to work effectively with multiple stakeholders from diverse communities and cultures
  • Ability to relate to and support students with diverse lived experiences including students of color, students with mental and physical disabilities, first-generation college students, and LGBTQIA+ students
  • Fluency in English, both written and verbal, to effectively collaborate across international teams and support U.S.-based partners
  • Proficiency in Word and Excel
  • Experience in Salesforce and Dealhub is helpful, but not required
  • Existing work authorization for UK, physically reside in England.
