Job Description Purpose As a customer care / receptionist, you will be the first point of contact for the company. Receptionist’s duties include offering administrative support across the organisation. You will answer inbound telephone calls and welcome guests who visit the business. You will also coordinate other activities, including distributing correspondence and provide administrative support to various teams across the business and working closely with the Planning Team (Water). Specific Responsibilities Manage reception area and look after visitors Answer phone calls and transfer them as necessary Manage correspondence by answering emails and sorting mail Manage outgoing post and record data on special deliveries Maintain stock lists and order office supplies as needed Manage customer queries – log and pass to the relevant Manager Record and populate defect packs, making necessary arrangements and liaise with Reinstatement Manager Record utility damages and make calls to appropriate utility company Arrange meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments Assist in planning and arranging events, including organising catering Photocopy, scan and file appropriate documents as needed Draft, format and print relevant documents Interact with staff and carry out their requests Any other duties deemed appropriate We we need from you Thrive within United Infrastructure’s values and culture of relentlessly striving to excellence through: Doing the right thing Raising the bar Positive attitude and energetic pace Excellent interpersonal and communication skills Integrity Ability to make things happen – starter/finisher Tact and the ability to deal with difficult situations Experience in a customer service role or similar I.T literate particularly Microsoft Office and Excel Well-developed verbal and written communication skills Team Player, but also comfortable working alone Understands the need for respect, sensitivity and discretion in a public facing role Some flexibility of working hours may be required Self-motivated, enthusiastic and calm under pressure Qualifications Key Skills (Essential) Strong attention to detail Ability to work without supervision Excellent time management skills Exceptional communication and customer service skills, verbal and written.
