We are looking for a dedicated, professional, and friendly individual to join our team as a Customer Care Representative / Receptionist.
Position Summary: As a Customer Care Representative / Receptionist at Grimsby Animal Hospital, you will be the first point of contact for clients, both in person and over the phone. You will help provide a positive experience for clients, ensure the smooth operation of the front desk, and support our team of veterinarians and technicians in delivering excellent patient care.

QUALIFICATIONS:

  • Experience: Prior experience in a veterinary clinic, animal hospital, or customer service role is highly preferred.
  • Education: High school diploma or equivalent. Additional certification or training in office administration, veterinary assistance, or customer service is an asset.
  • Technical Skills: Proficient with office software and familiarity with veterinary software is a plus.
  • Availability: Flexibility to work evenings, Saturday mornings.

Responsibilities
  • Client Interaction: Greet clients and their pets in a warm, friendly, and professional manner. Answer phone calls and emails, schedule appointments, and provide information about services, procedures, and hospital policies.
  • Appointment Management: Schedule, confirm, and reschedule appointments, ensuring accurate and up-to-date records.
  • Client Communication: Provide clients with follow-up information, medication instructions, and other essential details. Address client inquiries, concerns, and complaints with patience and empathy.
  • Cash Handling: Process payments, handle billing inquiries, and manage the clinic’s payment systems. Ensure accurate cash handling and provide receipts to clients.
  • Administrative Support: Maintain accurate and organized client files, medical records, and inventory. Assist with ordering and stocking office supplies.
  • Team Collaboration: Work closely with veterinarians, technicians, and other staff members to ensure seamless workflow and excellent patient care.
  • Hospital Environment: Maintain a clean and organized front desk area, waiting room and examination rooms. Ensure the clinic is a welcoming and pleasant environment for both pets and clients.
