QUALIFICATIONS & REQUIREMENTS

  • Previous experience in a clinic, healthcare, or wellness setting strongly preferred.
  • Proficiency with JaneApp (or similar practice management systems)
  • Strong communication and interpersonal skills, with a warm and professional phone manner.
  • Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
  • Familiarity with medical billing, insurance claims, and patient payment processing.
  • Proficient with Microsoft Office / Google Workspace.
  • Ability to work independently while supporting a multidisciplinary team.

Responsibilities

ROLE OVERVIEW

We are seeking an Office Coordinator to be the first point of contact for patients and a key support for our clinical team. The ideal candidate is highly organized, personable, and experienced in administrative tasks within a healthcare setting. A strong background with Jane App or similar practice management systems is essential.

KEY RESPONSIBILITIES

  • Greet patients, answer incoming calls, and respond to email inquiries in a professional and friendly manner.
  • Act as primary patient liaison, ensuring clear communication between patients and practitioners.
  • Manage scheduling and coordinate appointments through JaneApp.
  • Handle patient intake, consent forms, and electronic charting support.
  • Process payments, issue receipts, and manage patient billing and insurance claims (including direct billing where applicable).
  • Follow up with patients for appointment reminders, recalls, and post-treatment communications.
  • Maintain an organized front desk, waiting area, and administrative office.
  • Support clinic operations including supplies ordering, practitioner scheduling, and basic reporting.
  • Assist with marketing, patient outreach, and special clinic projects as needed.
