Job Summary:
The Customer Experience Coordinator plays a pivotal role in ensuring the efficient and successful operation of our theatre’s box office and front of house functions. This multifaceted position involves coordinating volunteers, scheduling, supervision and training of bar and concession staff, oversight of all bar and concession operations, providing excellent customer service to patrons, overseeing show day operations, and handling various administrative tasks. Under the direction of the General Manager, this role manages concession stock, coordinates hospitality and catering, ensures compliance with regulations, and maintains clean, organized, and efficient box office and concession areas.
Responsibilities:
Volunteer and Staff Coordination:
- Schedule and coordinate volunteers for various theatre events
- Plan and execute volunteer events
- Supervise and schedule concession staff and front of house supervisors one month in advance
- Act as on-site concession coordinator for all events unless otherwise arranged
- Arrange and provide hospitality for theatre presentations and catering for rental clients or private events
- Ensure staff and volunteers adhere to Alberta ProServe requirements
- Train volunteers on cash register operations and ensure concession deposits follow cash procedures
Event Management:
- Coordinate show day operations, ensuring smooth event execution
- Communicate to front of house supervisors, bar & concession staff and volunteers pertinent show
day information and instructions via Slack and the Event Reports
Client Services:
- Act as a box office or bar and concession cashier when necessary
- Provide exceptional customer service to patrons
- Troubleshoot customer issues with ticket purchases
Financial Responsibilities:
- Ensure daily reports are printed
- Forward all purchase receipts and event-related reports to the Accounting & HR Administrator
Administrative Duties:
- Maintain a filing system for documentation of box office files
- Conduct light data entry to maintain accurate records
- Ensure monthly inventory counts for concession are completed
- Ensure poster boards and/or digital monitors in upper & lower lobby are current
- Ensure bar & concession menus are kept current
- Maintain appropriate stock levels of concession items
- Order all concession products and supplies, picking up items as needed
- Maintain concession equipment in good working condition
- Keep all bar and concession areas clean and organized
- Maintain a digital filing system for documentation of concession files
- Apply for AGLC extension of license for special events
- Create promotions for concession specials & communicate these to accounting, marketing and cashiers
- Keep the Square till updated with product offerings and pricing.
- Perform annual performance reviews with front of house and concession staff before Nov. 15
General Assistance:
- Assist with special event planning and execution.
- Ensure that theatre safety procedures are properly executed.
- Report all accidents, injuries, and safety concerns immediately to the General Manager
- Complete any reasonable duties as assigned by the General Manager
Qualifications:
- Two years previous experience in box office management or customer service
- Strong communication and interpersonal skills
- Proficiency in ticketing software
- Ability to work evenings, weekends, and holidays as required for theatre events
- Experience in food and beverage service, inventory management, or hospitality preferred
- Excellent organizational and time management skills
- Proficiency in digital communication tools: Slack, M365/Teams/Outlook, SignUp
- Creative thinking and the ability to develop innovative sales campaigns
- Attention to detail and data-driven decision making
- Knowledge of Alberta ProServe requirements
- Excellent customer service skills
- Must have valid Class 5 Drivers license
Working Conditions:
- This role may require extended hours during event days
- This role will include off-site work
- Occasional lifting and moving of equipment and stock up to 50 lbs may be necessary
- This role involves interaction with diverse groups of people
