Description The Customer Operations Coordinator supports daily order activities, customer communication, and office operations. This role assists with processing orders, confirming delivery details, tracking order progress, and providing responsive customer service. The role works closely with sales, planning, and dispatch teams and is ideal for someone looking to grow experience in order management and customer operations. Key Responsibilities Order Processing & Support • Enter and register customer orders accurately in internal systems • Assist with preparing quotes, including larger or non standard orders with guidance as needed • Confirm delivery dates and site survey requirements with customers and internal teams Order Tracking & Coordination • Track orders to help ensure planning and dispatch timelines are met • Communicate order updates or changes to customers and sales staff • Escalate scheduling or delivery concerns to senior team members when needed Customer & Sales Communication • Communicate professionally with customers and internal sales representatives • Conduct follow up calls 24 hours after delivery to confirm receipt and satisfaction • Send performance survey emails after delivery and record responses Tracking & Administrative Tasks • Maintain spreadsheets and order tracking logs • Keep accurate records of deliveries, follow ups, and customer feedback Office & Team Support • Answer incoming calls and direct inquiries appropriately • Provide general office support and assist team members as needed • Help with various administrative tasks to support daily operations Requirements • 1–3 years of experience in customer service, order entry, sales support, or office administration • Strong attention to detail and organizational skills • Good written and verbal communication skills • Basic proficiency with spreadsheets (Excel or similar) • Ability to manage multiple tasks and meet deadlines Preferred Qualifications • Experience working in an office or customer facing environment within operations, planning and/or logistics setting • Familiarity with order systems, CRM, or ERP tools • Interest in growing into a more advanced sales or operations role
