JOB SUMMARY:

The Customer Operations Specialist facilitates the efficient operation within the Customer Service department by performing a variety of clerical and administrative tasks.
Position Type: Full-Time, In-Person (not suitable for remote work)
Supervisory Responsibilities:
· May assist in training newly hired admin support

REQUIRED SKILLS/ABILITIES:

· Excellent verbal and written communication skills.
· Excellent interpersonal and customer service skills.
· Proficient in Microsoft Office Suite, Adobe or related software.
· Excellent organizational skills and attention to detail.
· Basic understanding of clerical procedures and systems such as recordkeeping and filing.
· Ability to work independently.

EDUCATION AND EXPERIENCE:

· Associate’s degree preferred.
· Minimum high school or equivalent degree (GED)
· Minimum one year of experience in an administrative role.
· Customer service experience with excellent typing skills required.
· Ability to solve technical or operational problems and evaluate options based on relevant info, sources, well-rounded experience and knowledge

PHYSICAL REQUIREMENTS:

· Prolonged periods sitting at a desk and working on a computer.
· Ability to lift and push up to 15 pounds.
· Comply with all VeriTrust business policies and Code of Ethics.

Responsibilities

· Maintains filing systems as assigned
· Assists with directing, responding and resolving customer service phone calls.
· Answers and transfers phone calls, forwarding and screening when necessary.
· Welcomes and directs visitors and clients.
· Process Certificates of Destruction
· Cross training on work order processing
· Create work orders
· Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
· Assists with box counts & barcoding.
· Assists with company notifications for sales related tours & meetings
· Assists with closing work orders
· Assists with maintaining and organizing supply & break rooms
· Assists with updating contact list regularly
· Assists with scheduling conference room for meetings
· Assists with administrative support for executive team
· Assists with directing, responding and resolving customer service inquiries emails and questions.
· Assists with recording expenses and the use of petty cash.
· Performs other related duties and additional responsibilities as assigned.
