SKILLS, KNOWLEDGE, QUALIFICATIONS & EXPERIENCE

  • 2 years of administrative experience is preferred
  • 1 year of experience with NewStar software is preferred
  • Planning, organizational, and time management skills
  • Ability to work across functional areas to achieve desired outcomes
  • Excellent computer skills including Microsoft Office Suite
  • Ability to assume responsibility and to interface and communicate effectively with others
  • Effective English oral and written communication skills and ability to represent the company and project team in a professional manner to the Client, related staff and the community
  • Must be legally eligible to work in Ontario
  • Direct experience working with home builders or developers
  • Experience in planning and executing corporate events
  • Familiarity with construction project phases, terminology, and workflows
  • Basic understanding of reading and interpreting construction blueprints, drawings, and design documents.

Responsibilities

We are seeking a friendly enthusiastic and highly motivated individual able to multitask, challenge, and navigate our clients/homeowners during low or high-volume daily workload. The responsibilities would include, but not limited to:

  • Reply to correspondence from Construction, Consultants, Purchasers, Trades in timely order.
  • Paperwork to Construction Site, All trades, Purchaser Lot File, after sales service and Design consultants and Décor Manager.
  • Maintain and update the Master Data for all new projects. Purchasers Information, Model type and Elevations, review schedule A, review all brochures
  • Manage, Update, Maintain the Project catalogues and pricing in NewStar (DSM)

Customer Relations

  • Customer information management
  • Closing adjustments
  • Delay requests or updates
  • Unavoidable delay coordination and letters to customers
  • Deposit tracking of purchases checks
  • Coordination of annual investor reports
  • Preparing Occupancy spreadsheet for 8Haus
  • Bank deposits and posting
  • Reconciling DTA’s for Tarion (monthly)
  • Dealing with Construction teams to determine closing/occupancy dates and sending out delay notices
  • Processing incoming APS’s
  • Processing purchaser deposits
  • Managing purchaser questions and requests (includes project updates, realty tax reconciliations)

Miscellaneous

  • Help other areas of the office as needed
  • Responsible for continuously expanding and updating professional knowledge and improving training skills in order to enhance individual and team innovation and productivity
  • Maintaining a positive professional impression for all employees and visitors to Royalpark Homes Head Office
  • Sense of urgency towards meeting deadlines and accurate work with a high attention to detail
  • Other duties as assigned
