JOB DESCRIPTION:
We are looking for an experienced Full-Time Office Administrator/Co-ordinator to join our team.
It is important that the candidate has previous experience in a Customer Service/Scheduling Role.
Communication for this role is predominantly over the phone and by email, and as such is very fast paced. Customers are welcome to pop into our showroom to book a service or a job and so it is of paramount importance to us that the candidate is also approachable & welcoming in a face-to-face environment for any customers wishing to enter the showroom. We understand that our success is driven by our existing staff, who are polite, friendly, and ensure our customers are completely satisfied with any communications/works carried out.

· Support the office by answering & making a high volume of incoming & outgoing calls from/to customers who wish to book boiler services, breakdowns, boiler repairs, boiler installs & general plumbing jobs
· Scheduling engineer’s diaries (a sound geographical knowledge of Bristol and surrounding areas is required, along with experience of scheduling engineer’s jobs/diaries)
· The candidate will also be required to take customer payments over the phone
· Follow up calls to customers who have received quotes for new boilers & have had works completed
· Prompt response to any voicemails
· Act as the primary liaison between customers & engineers, providing information & answering any questions where necessary
· Respond professionally and promptly to a high volume of emails from customers with queries and/or booking requirements
· Oversee and manage jobs & quotations and log them using our in-house systems, which include entering customer details, scheduling dates and assigning those jobs/quotations to the appropriate engineer’s calendar/diary. It is essential that thought is given to postal codes (travel distance) to ensure engineer’s days are planned as efficiently as possible
· Liaise with letting agents and their tenants/landlords, to book Gas Safety Certificates, boiler breakdowns/call outs and general plumbing visits
· Welcome customers into our show room (should they wish to visit) and help with any questions, job/quotation bookings, or payments face to face in a friendly and approachable manner
· Register all new boilers installed on the manufacturer website to enable the guarantee
· Raise invoices for completed works
· Raise quotations for various boiler related/plumbing works, using our standardised charges
Salary - Starting at £25,397, depending on experience.
