TỔNG QUAN / JOB SUMMARY: Chuyên viên Vận hành Dịch vụ Khách hàng chịu trách nhiệm quản lý các tài sản bất động sản được chủ sở hữu ủy quyền và điều phối các dịch vụ cho thuê, đồng thời cung cấp giải pháp cho cư dân tại dự án. Vị trí đóng vai trò cầu nối giữa chủ nhà, người thuê, cư dân và các bộ phận nội bộ, đảm bảo dịch vụ vận hành hiệu quả./ Customer Service Coordinator is responsible for managing real estate properties authorized by owners, coordinating leasing services, and delivering resident solutions within the project. The position acts as a key liaison among owners, tenants, residents, and internal departments, ensuring efficient and professional operations. TRÁCH NHIỆM CÔNG VIỆC / RESPONSIBILITIES: I. Đại diện Chủ hộ / Owners Representative Service 1. Quản lý Tài chính & Hành chính / Financial & Administrative Management Theo dõi và cập nhật hồ sơ thuế, chứng từ cho từng căn hộ./ Keep track of and update tax files and supporting documents for each apartment. Lập, gửi báo cáo thu chi và nhắc nhở chủ nhà thanh toán chi phí dịch vụ/ Prepare and submit income/expense reports; remind owners of service fee payments. Theo dõi hợp đồng thuê, hỗ trợ gia hạn hoặc chấm dứt hợp đồng./ Track lease agreements and support renewals or terminations. Phối hợp môi giới chuẩn bị hồ sơ cho khách thuê mới và thủ tục hết hạn hợp đồng./ Coordinate with brokers to prepare documents for new tenants and handle contract expirations. 2. Vận hành & Chăm sóc Căn hộ / Unit Operations & Care Giám sát, kiểm tra định kỳ tình trạng căn hộ; đề xuất sửa chữa kịp thời./ Conduct regular inspections of units; recommend timely repairs. Quản lý lịch trình, tiếp đón khách tham quan căn hộ./ Manage schedules and host prospective customer visits. Tìm kiếm, giới thiệu căn hộ đến khách hàng tiềm năng./ Promote available units to potential clients. 3. Hỗ trợ Chủ nhà & Người thuê / Owner & Tenant Support Hỗ trợ đăng ký tạm trú cho người thuê theo quy định./ Assist tenants with temporary residence registration. Hướng dẫn thủ tục hành chính cho chủ nhà tại Việt Nam./ Guide owners through administrative procedures in Vietnam. Cung cấp tư vấn chuyên môn cho chủ sở hữu bất động sản./ Provide professional consultancy and support to property owners. 4. Báo cáo & Phối hợp nội bộ / Reporting & Internal Coordination Lập báo cáo vận hành định kỳ cho Ban Giám đốc./ Prepare periodic operation reports for Management. Phối hợp với Ban Quản lý Tòa nhà, Kế toán và các bộ phận liên quan để đảm bảo quy trình suôn sẻ./ Work closely with Property Management, Accounting, and other departments to ensure smooth processes. II. Giải pháp Cư dân / Resident Solutions 1. Tiếp nhận & Xử lý Yêu cầu / Request Handling Tiếp nhận yêu cầu từ cư dân / khách hàng qua hotline, lễ tân, kỹ thuật, Property Cube, email và các kênh khác./ Receive service requests from residents / customers via hotline, customer service team, technical team, Property Cube, email, and other channels. Tạo, quản lý Work Order (WO) trên hệ thống Property Cube (dự án Savills) và Service Desk (dự án ngoài)./ Create and manage Work Orders (WO) on Property Cube (Savills projects) and Service Desk (external projects). Phối hợp chuyển WO đến bộ phận kỹ thuật hoặc bên liên quan để sắp xếp lịch khảo sát và thực hiện./ Coordinate with Technical or related departments to arrange inspections and execution. 2. Điều phối & Chăm sóc Khách hàng / Customer Coordination & Care Chủ động liên hệ, hẹn lịch khảo sát/thực hiện dịch vụ./ Proactively contact customers to schedule inspections or service delivery. Nhận thông tin từ kỹ thuật, lập và gửi báo giá chi tiết./ Prepare and send detailed quotations based on technical input. Sắp xếp lịch hẹn, điều phối kỹ thuật, cập nhật hệ thống./ Arrange appointments, coordinate technicians, and update systems. Hỗ trợ kỹ thuật giải thích hạng mục cải tạo với khách hàng (khi cần)./ Support technicians in explaining renovation items to customers when required. 3. Quản lý Hồ sơ & Hỗ trợ Kỹ thuật / Documentation & Technical Support Cập nhật thông tin WO, PR, hóa đơn, chứng từ trên hệ thống sau khi hoàn tất dịch vụ./ Update WO, PR, invoices, and related documents in the system upon service completion. Phối hợp với nhà cung ứng / nhà thầu đảm bảo tiến độ & chất lượng./ Coordinate with suppliers / contractors to ensure timelines and quality. Soạn thảo phương án, báo giá chi tiết (Việt Anh) cho các hạng mục cải tạo lớn, trình phê duyệt./ Draft bilingual (VNEN) proposals and quotations for major renovation works for approval. Chuyển đổi checklist thành biên bản nghiệm thu hệ thống (điện, nước, lạnh,) song ngữ Việt Anh./ Convert checklists into bilingual (VNEN) handover reports for periodic services. YÊU CẦU / REQUIREMENTS: Tốt nghiệp Cao đẳng, Đại học các ngành: Quản lý Bất động sản, Quản trị Kinh doanh, Quản trị Dịch vụ, Khách sạn Du lịch hoặc các chuyên ngành liên quan./ College or Bachelors degree in Real Estate Management, Business Administration, Service Management, Hospitality & Tourism Management, or related fields. Ít nhất 2 năm kinh nghiệm trong lĩnh vực quản lý bất động sản/ At least 2 years of experience in property management. Kỹ năng giao tiếp, đàm phán, ứng xử chuyên nghiệp./ Excellent communication, negotiation, and interpersonal skills. Giải quyết vấn đề, làm việc nhóm và độc lập hiệu quả./ Strong problem-solving, teamwork, and independent working abilities. Thành thạo CNTT (cơ sở dữ liệu, bảng tính)./ Proficiency in IT tools (databases, spreadsheets). Quản lý thời gian, làm việc tốt dưới áp lực./ Ability to work under pressure with strong time management skills. Tỉ mỉ, trách nhiệm, chuyên nghiệp./ Detail-oriented, responsible, and professional. Hiểu biết về lĩnh vực bất động sản và xu hướng dịch vụ./ Good understanding of the real estate sector and service trends. Tiếng Anh thành thạo (nói & viết), biết tiếng Nhật, Hoa là lợi thế / Fluent in English (spoken & written), other languages: Japanese/Chinese are a strong advantage.
