We are proudly part of Japan Post — www.tollgroup.com CUSTOMER SERVICE EXECUTIVE (Vietnamese only) Work location: Dist. 3, HCMC, Vietnam Job Summary: The Customer Service Executive is responsible for delivering high-quality service to ensure customer satisfaction, retention, and support Seamaster’s business growth. This role involves managing bookings, coordinating with internal and external stakeholders, and ensuring smooth shipment operations. Job Responsibilities: Understand and utilize global service contracts (US & Canada) to offer competitive rates and solutions to clients (Overseas Agents, Internal Sales). Effectively manage space allocation across all contracted types to optimize utilization and minimize shortfalls. Build strong relationships with customers to understand their needs and provide tailored solutions. Receive and process booking requests from shippers, coordinate with controlling parties for approvals. Create and manage bookings in CW1; liaise with carriers/co-loaders as per instructions. Release booking confirmations and follow up with shippers for timely cargo export. Monitor shipment routing through carrier platforms; promptly follow up on any deviations from the planned schedule. Coordinate with carriers to secure space and ensure timely updates to all stakeholders (documentation team, oversea agents, shippers, sales, etc.). Upload all booking-related documents into CW1 system. For EXW, DDU, DDP shipments, coordinate with logistics/vendors to ensure timely pickup and customs clearance. Maintain and update client tariffs and organization profiles in CW1. Coordinate with internal departments (Sales, Finance, Logistics, Legal) to ensure smooth operations. Resolve unforeseen problems promptly and proactively. Handover job files to documentation team for timely shipping document preparation. Send FMC details for filing when required. Other tasks as assigned by Supervisor or Manager. Job Requirements: Bachelor’s degree in Business, Logistics, Supply Chain, or related field. At least 2 years of experience in customer service for freight forwarding/logistics is preferred. Strong understanding of international shipping terms (EXW, DDU, DDP, etc.). Proficient in using logistics systems (e.g., CW1) and Microsoft Office. Good communication and interpersonal skills in English (verbal & written). Detail-oriented and able to multitask in a fast-paced environment. Problem-solving mindset with a proactive attitude. Ability to work independently and as part of a team. What moves you?
