Invictus Northwest Group is a leading provider of snow removal and property services across the Pacific Northwest. As we gear up for the 2025–2026 winter, we’re looking for a dedicated Customer Care/Office Administrator to support our team and clients during our busiest time of year.

POSITION OVERVIEW:

As the Customer Care/Office Administrator, you’ll be a key part of our operations team—helping ensure smooth internal coordination and outstanding client service. You’ll manage communications, assist with scheduling and dispatch, maintain administrative systems, and help resolve client issues with professionalism and care.

REQUIREMENTS:

  • Prior experience in customer service and/or office administration
  • Strong communication, organization, and time-management skills
  • Ability to thrive in a fast-paced, seasonal environment
  • Proficiency in Microsoft Office (Excel, Word, Outlook); CRM experience preferred
  • Self-motivated and comfortable working both independently and with a team
  • Strong attention to detail and ability to prioritize tasks effectively

PREFERRED QUALIFICATIONS:

  • Experience in snow removal, landscaping, property maintenance, or service-based industries
  • Familiarity with scheduling and dispatching field teams
Responsibilities
  • Respond to client inquiries via phone and email in a timely and professional manner
  • Assist with scheduling and dispatching snow removal crews
  • Maintain accurate records in our CRM (HubSpot experience a plus)
  • Support the management team with day-to-day administrative tasks
  • Monitor service requests and job progress, following up with clients as needed
  • Assist with invoicing, payments, and basic bookkeeping tasks
  • Resolve client concerns with a positive, solutions-oriented approach
