DESCRIPTION

Job Overview:
As a Community Support Specialist, you’ll be responsible for providing administrative support to property management teams on behalf of clients. Our Community Support Services (CSS) team allows FirstService Residential Illinois to “Aim High” and set the standard for service and professionalism in our industry.
This role is available at our Chicago Corporate office.

Your Responsibilities:

  • Distribute mass communications and email blasts to residents and owners
  • Schedule vendor and contractor deliveries to properties
  • Program key fobs and intercom systems
  • Support resales services by preparing information packets for new owners
  • Distribute parking passes and keys to residents
  • Create, proofread, and send general and violation letters to owners
  • Track census and Certificates of Insurance (COIs) for associations
  • Compile and distribute financials to property managers or board members
  • Scan, upload, and email documents using our proprietary systems
  • Provide ad hoc proofreading for internal and external communications
  • Assist with incoming mail and check distribution
  • Coordinate weekly courier runs between corporate and site offices
  • Handle special delivery services and certified mail
  • Prepare documents for annual meetings and tax appeals
  • Maintain organized record storage for association files
  • Provide front desk reception coverage as needed
  • Assist with mass mailings of notices, flyers, budgets, and other relevant documents.

Skills & Qualifications:

  • Associate’s degree or higher in Business or a related field, or equivalent experience in an administrative capacity.
  • One to two years’ experience in administration and customer service. Experience in property management, real estate, or residential management industries preferred.
  • Works effectively with coworkers, clients, customers, and others by sharing ideas in a constructive and positive manner; addresses problems and issues constructively to find mutually acceptable and practical business solutions.
  • Must possess a high energy attitude and an ability to multi-task/prioritize different projects at any given time.
  • Superior oral and written communication skills.

Compensation
$ 41,000 – $ 42,750 / year
