Position Summary: As a Customer Service Specialist, you will play a vital role in the organization by providing primary front desk and phone coverage, delivering basic customer service to clients and visitors, and supporting daily office operations. Specific duties and responsibilities include, but are not limited to: Answer agency phone calls in a polite and friendly manner. Inquire about the callers’ needs and transfer them to the appropriate team member for assistance. Greet walk-in customers and visitors in a friendly and professional manner. Offer refreshments as needed and direct them to the appropriate team member. Assist customers and visitors with general inquiries and provide information about the agency’s services as appropriate. Handle incoming and outgoing mail and packages, including pick up, drop off, sorting, and distribution. This includes the postal service, as well as express mail services such as FedEx and UPS. Monitor the agency’s general email inbox, and respond to or forward messages to the appropriate team member as appropriate. Additionally, monitor the Reception team’s email inboxes, and respond to or complete the requested tasks as appropriate. Provide administrative assistance to other departments or team members as needed. This includes office support functions such as typing, scanning, copying, printing, faxing, filing, mailing, etc. Maintain the cleanliness and professional appearance of customer waiting areas, client service rooms, and other public office areas. Work in cooperation with other team members to ensure proper coverage of the phones and front desk during absences, and to ensure the smooth, efficient operation of the office. Minimum Qualifications: High school diploma or equivalent. Previous experience in a secretarial, receptionist, office assistant, or customer service role. A friendly and welcoming demeanor. The ability to maintain confidentiality and discretion when handling sensitive information. Excellent customer service skills, including the ability to have positive customer interactions and maintain positive customer relationships. Excellent computer skills, including the ability to utilize Microsoft programs (Outlook, Word, and Excel), web-based computer applications, and other agency management systems. Excellent time management and organizational skills, including the ability to handle multiple projects or tasks, meet established deadlines, and change priorities as business needs require. Excellent communication and interpersonal skills, including both written and verbal communication. The ability to work collaboratively in a team environment, but also independently with minimal daily supervision. The ability to utilize basic office equipment, such as a computer, keyboard, mouse, monitors, printer, copier, and scanner. Location & Work Schedule: This is an in-person position located in our Cedar Rapids office. The work schedule is Monday-Friday 8:00 AM to 4:30 PM (with a 30-minute lunch).
