Position Overview
We’re looking for a highly organized, detail-oriented, and client-focused team member to help manage orders, support clients, and ensure smooth operations. This hybrid role combines project coordination with customer support. You must be available throughout standard U.S. business hours and ready to respond quickly—via chat or video call—to our internal team or clients.

Requirements

  • Familiarity with Trello, HubSpot, and other productivity tools (a plus)

Responsibilities

Project Management

  • Track client jobs from submission to delivery
  • Enter and manage project requirements in our Trello-based system
  • Monitor project progress and ensure all future steps are scheduled
  • Review files for print/video compliance and escalate issues proactively
  • Coordinate production milestones, including proofs and approvals
  • Manage order fulfillment and collaborate with production

Customer Support

  • Communicate with clients via email, phone, and video
  • Provide quotes, offer consultation on brochure types, print finishes, screen sizes, and packaging
  • Maintain client relationships through timely updates and support
  • Conduct product walkthroughs or consultations over video
  • Resolve issues quickly and professionally
  • Identify recurring problems and collaborate with the team on prevention
  • Recommend upsells (e.g. more units, design services, video editing) when appropriate

Administrative Duties

  • Prepare invoices and manage billing
  • Keep customer records updated and organized
  • Assist with general office tasks as needed

Job Types: Full-time, Contract
Pay: $18.00 - $23.00 per hour
Expected hours: 40 per week
