Purpose of the Role BGIS is seeking an experienced Data Coordinator to support a national healthcare facilities portfolio by managing, validating, and maintaining service and maintenance data across critical hospital assets. Reporting to the National Technical Manager, you will work closely with Maintenance Managers, State Managers, subcontractors, and internal teams to ensure service dockets and maintenance records are accurately captured, validated, and stored within SharePoint and CMMS systems. This role is essential in maintaining data integrity, compliance, and visibility across a complex healthcare environment. The ideal candidate will be highly organised, detail-focused, proactive, and confident engaging with stakeholders via phone and email while working independently in a fast-paced environment. Key Responsibilities * Collect, review, and validate subcontractor service reports and dockets  * Follow up with vendors via phone and email to obtain missing documentation  * Maintain structured SharePoint repositories for maintenance and service data  * Update CMMS systems to ensure accurate closure of maintenance activities  * Ensure data integrity across planned and corrective maintenance records  * Assist with subcontractor compliance including insurance and documentation checks   * Support monthly reporting and contract performance reporting requirements  * Liaise with internal teams and external stakeholders to ensure service accuracy  * Maintain compliance with WHS, QA, EMS, and contractual obligations  * Contribute to continuous improvement of data systems and reporting processes  Education, Experience & Skills Essential * Experience in administration, data coordination, or similar support role  * Strong Excel skills (advanced level required)  * High proficiency in SharePoint and document management systems  * Experience using CMMS or similar work order systems  * Excellent written and verbal communication skills  * Strong attention to detail, accuracy, and data integrity  * Ability to manage competing priorities and work independently  * Strong customer service and stakeholder engagement experience  * Comfortable working across email and phone-based communication  Desirable * Experience in facilities management, healthcare, or asset maintenance environments  * Exposure to subcontractor/vendor management  * Experience working with large datasets or structured reporting systems  Workplace Flexibility This role offers flexible working arrangements, with the ability to work remotely (within Australia) provided strong connectivity is maintained.
