We partner with 360 community partners in the counties of Cayuga, Chenango, Cortland, Herkimer, Jefferson, Lewis, Madison, Oneida, Onondaga, Oswego, and St. Lawrence. The core of our work is achieved by partnering with local agencies that distribute food to individuals and families in need. The key partners that make up our emergency food network are food pantries, soup kitchens, and emergency shelters. Other not-for-profit agencies such as day care centers, rehabilitation centers, senior centers, and group homes are able to utilize membership as a way to supplement their agency food needs. Our Vision is to see a community where everyone has access to nutritious food and no one is hungry. Our Mission is leading the effort to eliminate hunger in our region, by partnership with others in our community, through education, advocacy, and distribution of nutritious food. Hunger is a very serious problem in the United States today. Despite its great wealth, an estimated one in eight Americans rely on emergency food assistance. Among the thousands of people who depend on charitable food programs in central and northern New York, and the Mohawk Valley: · 29% are children 18 or younger · 10% are without health insurance · 68% have been unemployed for more than two years · 32% have a working family member · 91% are below the federal poverty line · 41% earn less than $12,000 annually POSITION SUMMARY The Data Entry Associate supports the mission of Food Bank of Central New York by ensuring the accuracy, integrity, and timely processing of donor and gift information within the organization’s donor database. This position plays a critical role in maintaining clean and reliable fundraising data, processing contributions from multiple revenue streams, reconciling third-party giving platforms, and partnering closely with the Finance team to ensure accurate reporting and compliance. The Data Entry Associate maintains strict confidentiality of donor information and supports Development initiatives, including events and campaigns, with occasional evening and weekend responsibilities. ESSENTIAL FUNCTIONS Accurately process and record donations (mail, online, event, workplace giving, third-party platforms, stock gifts, etc.) in the donor database in a timely manner Maintain clean, consistent, and standardized donor records, including data entry, updates, merges, and de-duplication Reconcile third-party giving platforms (e.g., peer-to-peer, workplace campaigns, donor-advised funds, crowdfunding tools) with internal donor database records Partner with the Finance team to reconcile donation activity and resolve discrepancies Maintain confidentiality and security of donor records and financial information Assist with gift acknowledgment processes to ensure timely and accurate donor stewardship Support Development campaigns, mailings, and fundraising initiatives through accurate list management and data pulls Maintain positive and respectful interactions with donors, addressing questions or concerns related to contributions and ensuring a supportive donor experience PHYSICAL REQUIREMENTS Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 25 pounds occasionally. Able to move about the office and warehouse environments as needed. EDUCATION & CERTIFICATION REQUIREMENTS High school diploma or equivalent required Associates degree or higher in Business Administration, Accounting, Data Management, Nonprofit Management, or related field a plus but not required Coursework or training in database management or accounting principles are a plus but not required This position will receive a pre-employment background check. EXPERIENCE REQUIREMENTS Experience in data entry and database management Experience working with CRM systems; donor databases strongly preferred with Raiser’s Edge (RENXT) experience a plus Experience and proficiency in Microsoft Excel, including sorting, filtering, pivot tables, and basic formulas Experience and proficiency in Microsoft Office applications (Word, Outlook, Teams, etc.) Experience reconciling financial transactions or working with financial data a plus SKILL REQUIREMENTS Strong attention to detail with a high level of accuracy Ability to manage high-volume data entry while maintaining quality standards Strong organizational and time management skills Ability to handle confidential information with discretion and professionalism Clear written and verbal communication skills Customer service orientation with a commitment to providing a positive and respectful donor experience Comfort working across multiple technology platforms with a willingness to learn new systems and tools as needed The purpose of this job description is to provide an overview of the position.
