ORGANIZATION RELATIONSHIP

This position involves professional interaction with production workers and foremen to provide production work orders information and support in order to facilitate production database update. The DE Clerk communicates frequently with production foremen.

REQUIREMENTS

EDUCATION AND TRAINING

Organization, typing, data entry skills, attention to detail, confidentiality, independence, analyzing information. Minimum high school diploma, 2 years experience in the field. Demonstrated computer application experience in spreadsheets and database software.

Responsibilities

PURPOSE AND SCOPE

The Data Entry clerk works from production source documents to enter information into spreadsheets or computer data base. Quickly and accurately types the data according to the data entry instructions. The Clerk may need to insert new records before entering data, delete existing records or type over existing data to update data. The data entry clerk may need to cross-reference data from multiple source documents when entering data for a single record. The Data Entry Clerk Maintains database by entering new and updated production information

DUTIES

  1. Document Handling & Work Order Preparation
  • Print engineering drawings and attach them to corresponding work orders.
  • Prepare production work orders source data for computer entry by compiling and sorting information; establishing entry priorities. Verify that all production work orders have order instructions and drawings attached.
  • Verify that drawing revision numbers match the latest version specified in the work order to ensure accuracy and compliance.
  • Processes production source documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the Foreman for resolution.
  • Enters production work orders data by inputting alphabetic and numeric information on keyboard or optical scanner according to screen format.
  • Updates Database by scanning completed work orders for all four departments (Copper, Sheet Metal, OEM, Large Coil)
  • Verifies entered production work orders data by reviewing, correcting, deleting, or reentering data; finding out data when order information is incomplete; purging files to eliminate duplication of data
  1. ERP System Interaction
  • Utilize ERP system functions to assist in job releasing processes.
  • Enter and update job-related data accurately within the ERP system.
  1. Material Transfer Coordination
  • Create and maintain material transfer lists to support production and inventory movement.
  • Ensure all materials are correctly documented and transferred according to production needs.
  • Locate Bill of Material (BOM) for all completed parent work orders and attaching to the corresponding parent work order.
  • Separate engineering drawing from completed work orders and place it into the appropriate filling tray.
  • Monitor the weekly binders to ensure that completed work orders have been processed.
  1. Production Schedule Review
  • Support production planning by reviewing schedules and identifying job priorities.
  • Communicate any discrepancies or delays to relevant departments.
  1. General Administrative Support
  • Maintain organized records of job orders, drawings, and material lists.
  • Collaborate with production, planning, and engineering teams to ensure smooth workflow
  • Maintains data entry requirements by following policies and procedures; reporting needed changes.
  • Tests production work orders system changes and upgrades by inputting new data; reviewing output.
  • Secures information by completing data base backups.
  • Contributes to team effort by accomplishing related results as needed.
  • Maintains Company confidence and protects operations by keeping information confidential.
  • Additional clerical duties as requested by Supervisor.
