Position Summary: The Data Systems Manager is a full-time position reporting to the Director of IT. This role serves as the primary owner, administrator, and subject matter expert for Carroll’s Student Information System (Aspen), the school’s most critical data platform. In addition to leading Aspen administration, this role oversees the integration and stewardship of Carroll’s broader data systems ecosystem. This individual ensures that institutional data is accurate, secure, and accessible, and partners closely with departments—including Admissions, Academic Leadership, Finance, and Student Support—to support day-to-day operations and data-informed decision-making. Responsibilities: Aspen SIS Leadership Serve as the primary administrator and internal expert for Aspen, managing configuration, modules, user roles, permissions, and system updates. Partner with academic and administrative leaders to support grading, scheduling, reporting, and other core school functions within Aspen. Develop and maintain advanced queries, reports, and customizations within Aspen to meet evolving institutional needs. Ensure data accuracy and integrity within Aspen, including oversight of imports, exports, and system-wide data standards. Provide day-to-day support, troubleshooting, and training for faculty and staff using Aspen. Data Systems & Integrations Lead the integration of Aspen with other core systems (e.g., Ravenna, Magnus, School Messenger), ensuring reliable and secure data exchange. Develop and maintain automated workflows and data pipelines between systems. Serve as a steward of institutional data across platforms, ensuring consistency and accessibility. Reporting & Decision Support Partner with departments to understand data needs and deliver reports, dashboards, and insights that support operational efficiency and strategic decision-making. Translate complex data into clear, actionable information for non-technical stakeholders. Data Governance, Security, and Operations Establish and maintain data governance practices, including standards for data integrity, access, and compliance with applicable regulations. Perform core database and systems administration functions, including performance monitoring, backups, recovery procedures, and security management. Proactively monitor system performance and troubleshoot issues across the data ecosystem. Systems Strategy & Support Evaluate, implement, and manage third-party systems and vendors related to data and integrations. Design and deliver training, documentation, and resources to improve system use and data literacy across the organization. Collaborate with the Director of IT on long-term planning for Aspen and the broader data architecture. Requirements Bachelor’s degree in Computer Science, Information Technology, or a related field (or equivalent professional experience). 5+ years of experience working with student information systems, databases, or enterprise applications. Direct experience administering Aspen SIS (or a comparable K–12 SIS) is strongly preferred. Experience designing and supporting system integrations, data pipelines, or automated workflows. Familiarity with reporting and data visualization tools; ability to translate data into meaningful insights. Experience with data security best practices, access controls, and disaster recovery planning. Demonstrated ability to collaborate effectively with both technical and non-technical stakeholders. Strong problem-solving skills, attention to detail, and a proactive, service-oriented mindset. Excellent communication skills, including the ability to support and train end users. Exact salary offered is dependent on educational credentials and years of experience. Target compensation is $78,000 with a range of $70,000-$87,000.
