JOB SUMMARY

The Database Manager is an individual contributor with no direct reports, working as part of a small Philanthropy database team that includes the hiring manager and a part-time staff member. This position plays a hands-on role in managing MAP International’s CRM, Agilon One, which supports over 26,000 active donor records and fuels the success of the Philanthropy team.
The Database Manager will be responsible for the tactical execution of data management and reporting needs, including generating mail lists for more than 15 fundraising campaigns annually, preparing co-op donor and transaction reports, and providing raw donor data every six months to refresh analytics in Power BI. While much of the role centers on accurate data, reporting, and execution, the successful candidate will also use critical thinking and critical thinking skills to identify system improvements, streamline processes, and provide strategic insights to strengthen MAP’s fundraising operations.
This is a highly collaborative role, ideal for someone who is detail-oriented, analytical, and eager to learn, yet also confident in advising on ways to maximize the organization’s use of its CRM system.

QUALIFICATIONS

  • Experience with SQL, queries, or other reporting/query tools
  • Familiarity with direct response fundraising or donor segmentation strategy
  • Understanding of nonprofit fundraising lifecycle and revenue streams
  • Experience in training or onboarding others in technical systems
  • Customer service mindset when dealing with internal stakeholders.
  • High attention to detail with a commitment to data accuracy
  • Demonstrated ability to learn new systems quickly and independently.
  • Strong analytical and critical thinking skills
  • Excellent written and verbal communication skills
  • Experience with documentation and writing SOPs for technical or user processes.
  • Comfortable working independently and collaboratively in a fast-paced environment
  • Ability to manage confidential information with discretion.

EDUCATION AND/OR EXPERIENCE

  • 3+ years of experience in CRM/database management, preferably in a nonprofit or fundraising environment
  • Proficiency with CRM software (experience with Agilon One or similar platforms such as Raiser’s Edge, Salesforce NPSP, or DonorPerfect preferred)
  • Understanding of SQL, preferred. Complete additional SQL certifications are required within the first 6 months of hiring.
  • Strong Excel skills (VLOOKUP, pivot tables, conditional formatting, data validation)

OTHER SKILLS AND ABILITIES

  • Complete assigned data hygiene projects based on the agreed upon cadence.
  • Deliver 100% of scheduled reports (campaign, co-op, Power BI refresh) by agreed deadlines
  • Generate ad hoc reports within 3–5 business days of request
  • Maintain dashboard accuracy rate of >95% with timely updates
  • Produce accurate mailing lists for 15+ annual campaigns with zero errors impacting mailings
  • Turn around ad-hoc list pulls within 5 business days of request
  • Respond to internal CRM support requests within 24–48 hours
  • Provide 2–3 team training sessions per year with 90% positive feedback from attendees
  • Create or update 10+ SOPs annually to standardize recurring CRM processes
  • Propose at least 2 system/process enhancements per year that improve efficiency or reporting accuracy
