Description

The BC Professional Fire Fighters Association (BCPFFA) represents 56 locals and over 4,800 professional fire fighters, dispatchers, prevention officers, and support personnel across British Columbia and the Yukon. The BCPFFA serves its affiliates by providing training and education on provincial legislation, occupational health and safety, WorkSafe advocacy, financial assistance, collective bargaining, labour law, and the promotion of best practices in public safety and firefighter safety.
The BC Professional Fire Fighters Burn Fund (Burn Fund), established in 1978 and is dedicated to supporting burn survivors throughout every stage of their recovery. From enhancing care at BC’s trauma hospitals to providing emotional support for survivors of all ages, the Burn Fund empowers individuals and strengthens families through resilience and community. The Burn Fund is the charity of the BCPFFA.
Opened in March 2016, the Burn Fund Centre stands as a testament to the vision and commitment of firefighters, donors, volunteers, and staff. Located in the heart of Main Street, this iconic building houses the Home Away program, offering eight fully furnished suites with shared amenities. These accommodations provide a supportive, temporary home for burn survivors, their families, and fire fighters receiving medical treatment in Vancouver.

SKILLS, EXPERIENCE & EDUCATION

  • 3–5 years of office administration or operations experience, preferably in a non-profit or small organization environment.
  • Proven database management expertise leveraging Google Workspace, with preference for candidates demonstrating advanced proficiency in Google Sheets.
  • Excellent oral, written, and interpersonal communication skills.
  • Proven ability to manage multiple priorities and meet deadlines in a fast-paced setting.
  • Proficiency with cloud-based platforms (e.g., Google Workspace) and basic IT troubleshooting.
  • Post-secondary education or related training in administration, business, or a relevant field is an asset.
  • Experience coordinating contractors, property maintenance, or facilities management is an asset.

Responsibilities

Database Management:

  • Maintain and update databases for both the BCPFFA and the Burn Fund, ensuring accuracy, consistency, and security of information.
  • Work with staff to ensure data entry protocols are followed and provide training/support where needed.

Office Coordination

  • Manage day-to-day office operations, including supplies, equipment, filing systems, and IT coordination.
  • Maintain office procedures and workflows to improve efficiency.

Property & Contractor Coordination

  • Oversee and schedule contractors supporting BCPFFA and Burn Fund properties, including maintenance, repairs, and cleaning services.
  • Track contracts, service agreements, and related documentation.

Stakeholder Relations

  • Build and maintain positive relationships with suppliers, contractors, donors, and other external stakeholders.
  • Serve as a first point of contact for inquiries, directing them appropriately.

General Administrative Support

  • Provide administrative assistanceas required.
  • Support events and special projectsas required as part of the broader BCPFFA and Burn Fund teams
