Williams Auto Group is looking for an Office Manager to join our TEAM!

SUMMARY

Processes daily transactions for all dealership departments and maintains accuracy of accounts and schedules. Responsible for having dealership data clean and prepared for a smooth month-end process.

QUALIFICATIONS:

  • Auto Industry Experience (preferred)
  • A critical thinker and effective time manager
  • Strong attention to detail and sense of urgency
  • Excellent communication skills both written and verbal
  • Automate DMS experience a plus

Responsibilities
  • Performs Daily deposit for the dealership.
  • Processes car deals. Verifies costs for the accounting department, including the costs of reconditioning and equipment add-ons.
  • Provides a timely daily operating control (DOC).
  • Manages the payoff of vehicle floor plan and works with bank floor plan auditors as needed.
  • Maintains all schedules and reviews at minimum weekly and corrects any errors.
  • Ensures that all manufacturer accounts including warranty claims, rebates, interest, protection, and co-op advertising accounts are current and accurate.
  • Ensures that all F&I aftermarket product purchases are submitted properly.
  • Process F&I aftermarket refunds in accordance with policy.
  • Prepares weekly sales commission reports for payroll.
  • Controls all posted documents, vehicle deals, commissions and additions and changes to inventory. Neat and accurate file system.
  • Reconciles select accounts monthly.
  • Assists in completion of annual review/audit.
  • Ensures compliance with all government regulations.
  • Stays abreast of current factory incentives and codes deliveries on dealership computer system accordingly.
  • Administers charge-back program for late charges to inventory.
  • Prepares F&I reserve chargeback detail reports.
  • Processes yearly renewal of dealer tags in conjunction with controller.
  • Compiles information and prepares reports as requested by management and/or dealer principal.
  • Cross-trains a qualified substitute.
  • Maintains a professional appearance.
  • Maintain offices in neat, professional manner.
  • Attends managers meetings as requested.
  • PA DMV Knowledge preferred.
  • PA Notary
  • Other tasks as assigned.
