JOB TITLE: DELIVERY CLERICAL ASSISTANT

Location: Little Rock
Employment type: Part time with potential to full time
Reports to: Fleet Manager

JOB SUMMARY

The Delivery Clerical Assistant provides administrative and clerical support for the delivery/logistics team to ensure accurate, timely dispatch and documentation of shipments. This role handles order entry, paperwork, customer and driver communications, recordkeeping, and basic invoicing to support efficient delivery operations.

REQUIRED QUALIFICATIONS

  • High school diploma or equivalent. Associate’s degree or coursework in logistics/administration preferred.
  • 1+ year clerical or administrative experience; experience in delivery, dispatch, or logistics is a plus.
  • Proficient with Microsoft Office (Excel, Word, Outlook); experience with TMS/dispatch software preferred.
  • Strong data entry skills and attention to detail; accurate typing (recommended 45+ WPM).
  • Clear written and verbal communication skills; professional phone manner.
  • Ability to prioritize tasks, multitask, and work under time pressure.
  • Basic math and record reconciliation skills.

Responsibilities
  • Enter and process delivery orders, manifests, and shipping requests into the routing/dispatch system.
  • Prepare, verify, and file shipping paperwork (manifests, bills of lading, delivery receipts, proof-of-delivery).
  • Schedule and confirm pickup and delivery appointments with customers and drivers.
  • Communicate with drivers in the field regarding routes, changes, delays, and special instructions.
  • Answer phones and respond to customer inquiries about delivery status, ETA, and basic issue resolution.
  • Update and maintain delivery logs, tracking records, and the customer database.
  • Generate and distribute daily route sheets, driver assignments, and exception reports.
  • Reconcile delivery records with billing and inventory as needed.
  • Help investigate and document delivery exceptions, damaged goods, or missing items.
  • Maintain organized physical and electronic filing of delivery documentation.
  • Support ad-hoc clerical tasks for the logistics team (scanning, photocopying, data exports).
  • Ensure compliance with company policies and applicable shipping/transportation regulations.
