Staff Management:

  • Set goals to meet sales targets in conjunction with the Company Directors. Ensure that the performance of all departments is managed (front of house, Business, nursing, Marketing and fee-earners). In conjunction with the relevant staff, monitor performance providing regular feedback, and ensure that (at minimum) annual documented appraisal meetings are held. Where performance or behaviour is not acceptable, oversee the disciplinary process and where necessary, terminate employment. Manage any grievance procedures.
  • Own the recruitment process. To include: job descriptions, candidate selection and interviewing, feedback on interviews, job offers and employment contracts, managing the induction process.
  • Monitor progress and ensure that performance targets are met.
  • Ensure that staff records are maintained and monitored (particularly with regard to attendance, overtime, sickness, absence and annual leave). Ensure that the practice’s employment contracts are up-to-date and ensure compliance with all employment (and other) regulations.
  • Oversee staff induction and training
Responsibilities

JOB ROLE:

To manage the development of the business to achieve First Class Dental status, and to take overall responsibility for managing the Heads of departments ,ensuring efficient day-to-day operation of the Practice.

KEY RESPONSIBILITIES:

Strategic Planning and General Management:

  • Work with the Company Director/s to implement the strategic plan for the practice, including forecasting and targets.
  • Set, monitor and review 30-day goals with the practice management team. Hold weekly management meetings to plan, implement and review performance against the agreed goals.

Sales & Customer Service Management:
· Ensure that the reception team is monitored in effectively handling new patient enquiries and managing the appointment book, ensuring that the new patient and daily production targets can be met and the booking system is followed and to ensure no delays for patients or the fee-earners.
· Ensure the team build trusting and caring relationships with all patients, and take all reasonable steps to ensure their comfort and retain them as a client, according to the practice standards. Maintain patient confidentiality at all times.
· Ensure that the clinical and reception teams are effective in achieving treatment plan uptake, such that production and sales targets can be met.
· Ensure the efficient operation of the patient recall and reactivation processes, with the aim of meeting targets to re-appoint lapsed patients and gain acceptance of treatment plans not taken up.
· Ensure the efficient operation of the patient referral and testimonial procedures. Survey clients regularly to improve the client experience.
· Assist in manning the phones/patient lounge (as the business necessitates), providing a customer-focused and seamless patient journey according to the practice’s brand standards, that assists in recruiting and retaining patients.

Financial Command & Control:

  • Ensure effective data collection and monitoring of all financial, sales and marketing information and performance statistics (KPIs). Review and analyse the relevant data and spreadsheets, and discuss the required business decisions with the Principals on a monthly basis. Take action to implement the decisions made.
  • Oversee the smooth and accurate running of banking, patient payment and bookkeeping processes within the practice.

Operations & Systems:
· Take overall responsibility for the creation, implementation and maintenance of systems to ensure the smooth running of the practice, ensuring that these systems comply with the latest regulations. Ensure that compliance to these systems is monitored across all practice staff.
· Ensure that there is an efficient stock control and supply procedure and efficient ordering. Manage stock according to the practice budget and targets.
· Take overall responsibility for the IT and technology strategy for the business.
· Ensure that practice equipment is serviced and maintained to the required frequency, and contracts are in place.
