QUALIFICATIONS:

A minimum High School Diploma is required. Successful completion of a School of Dental Assistance is minimum and completion of a program for Expanded Duty Dental Assistance (EDDA) with EDDA certification or a professional certificate in medical/dental billing or terminology is required. A minimum of 5 years of professional dental assistance experience is required with 3 years of highly responsible experience expected. A bachelor’s degree in health, community health, biology or a related field, from an accredited school or university, may be substituted for 3 years equivalent entry level experience. A minimum of 3 years of experience in a dental health care setting using a Dental Practice Software and/or Electronic Health Record is preferable. Bilingual candidates encouraged to apply.

GENERAL DESCRIPTION:

The Dental Office Manager is an administrative position commonly held within the dentist office. The individual will assist in supporting patients and medical staff by answering incoming calls, organizing charts and admitting new patients. A Dental Office Manager uses their knowledge of orthodontic terminology and billing to manage the office efficiently. A Dental Office Manager usually has a background in medical office processes and procedures and advances into the position after time spent as a medical or dental office assistant. The scope of the Dental Office Manager includes monitoring office hygiene and infection control activities and handling patient services and COf’!) plaints as well as support systems related to patient needs and company operations.

Responsibilities
  • Plan and manage dental business operations to ensure excellent patient support services.
  • Oversee daily office activities and provide directions and guidance to staff as needed.
  • Ensure that patient appointments, cancellations, and lastminute adjustments are handled properly.
  • Respond efficiently to patient and doctor needs and inquiries.
  • Participate in Q.I. activities and safety committee activities.
  • Respond to patient queries and issues and ensure patient satisfaction.
  • Resolve patient issues in accordance with company policies and procedures, healthcare regulations, and dental board standards.
  • Supervising the front desk in organizing and presenting payment schedules to patients.
  • Supervision of collection fees and routine deposit of fees
  • Coordination of reconciliation of accounts payable and receivable with Finance Department
  • Manage specialist referral processes.
  • Train, develop, and manage staff to meet performance standards.
  • Assist in developing marketing programs to attract more patients.
  • Assist in employee performance evaluation, promotion, termination, and retention activities.
  • Follow and enforce office policies and regulations.
  • Ensure timely submission of payroll and review and approve vacations, sick leave and personal leave for dental staff.
  • Identify areas of improvements and concerns and implement appropriate corrective actions.
  • Oversee staff scheduling as to ensure full coverage.
  • Organize and oversee supply purchases and credit card reconciliation.
  • Responsible for supervising upgrades to practice management software and providing training to staff.
  • Run and analyze reports.
  • Maintain patient data according to regulations and company policies.
  • Ensure that records are stored securely and in compliance with policy and security regulations.
  • Adhere to all HIPPA regulations.
  • Take responsibility for the appearance and functionality of the dental office.
  • All other duties assigned by the dental director.
