Dental Office Manager Overview
We’re seeking a proactive, detail-oriented Dental/Orthodontic Office Manager to lead day-to-day operations and deliver a five-star patient experience. You’ll be the hub between front desk, treatment coordinating, clinical team, and billing—keeping the schedule full, the team aligned, and patients delighted.

Key Responsibilities

  • Patient Experience & Front Office
  • Greet patients warmly; oversee check-in/out, new-patient intake, and consent/HIPAA forms.
  • Manage multi-line phones, online inquiries, and recall/recare outreach.
  • Maintain an inviting, organized reception area and smooth clinic flow.
  • Scheduling & Clinic Coordination
  • Build efficient doctor/assistant schedules and templates; minimize no-shows and gaps.
  • Coordinate new-patient exams, records, bond/debond, aligner deliveries, and retainer visits.
  • Track daily production, collections, and start rate; report KPIs to the doctor.
  • Treatment Coordination & Case Acceptance
  • Present treatment plans and financial options clearly; increase case acceptance.
  • Set up payment plans; administer third-party financing (e.g., CareCredit/Cherry).
  • Ensure all pre-auths, benefits checks, and documentation are completed before starts.
  • Insurance, Billing & Revenue Cycle
  • Verify orthodontic benefits; estimate patient portions accurately.
  • Submit and track claims; post EOBs; manage A/R and follow up on outstanding balances.
  • Understand CDT codes relevant to orthodontics (e.g., D8660, D8080, D8090, D8670, D8680).
  • Compliance, Systems & Inventory
  • Uphold HIPAA and OSHA policies; maintain accurate patient records.
  • Optimize practice software use and data hygiene.
  • Oversee supplies and lab/aligner case logistics; manage vendor relationships.
  • People & Practice Growth
  • Support hiring, onboarding, and training for front office/TCO roles.
  • Run morning huddles; align the team to daily goals and patient priorities.
  • Support light marketing tasks (reviews, referral tracking, community events) as needed.

Qualifications

  • Required
  • 2+ years in dental or orthodontic front office, treatment coordination, or office management.
  • Working knowledge of CDT coding and orthodontic insurance workflows.
  • Proficiency with dental/ortho practice software (e.g., Open Dental, Cloud 9, Dolphin, Ortho2 Edge, Dentrix, or similar).
  • Strong computer skills (Microsoft Office/Google Workspace); accurate typing and data entry.
  • Excellent communication, customer service, and phone etiquette.
  • Proven ability to juggle priorities, solve problems, and maintain meticulous attention to detail.
  • Preferred
  • Experience presenting financials and increasing case acceptance.
  • Familiarity with third-party financing (CareCredit/Cherry) and A/R management.

Schedule & Compensation

  • Part time, on-site. Performance incentives.
