Our dental practice, located in North York, is seeking an Dental Office Manager/ Treatment Plan Coordinator . The focus of our practice is to serve individuals in our community with integrity and respect through the provision of high quality, patient-centered care.
A dental office manager is responsible for overseeing the day-to-day operations of a dental practice. They play a key role in ensuring that everything runs smoothly, both in terms of patient care and administrative tasks. Here’s a typical job description for a dental office manager:

REQUIRED SKILLS & QUALIFICATIONS:

  • Education: High school diploma required; associate or bachelor’s degree in healthcare administration or a related field is preferred.
  • Experience: Previous experience in dental office management.
  • Skills: Strong organizational, leadership, communication, and problem-solving skills.
  • Technical Skills: Familiarity with dental software and office equipment. Tracker Software.
  • Attention to Detail: Accuracy in patient records, billing, and scheduling.

QUALIFICATIONS

  • Previous experience in a dental office . 5+ years
  • Familiarity with medical terminology related to dentistry is highly beneficial.
  • Proficiency in using electronic records systems; experience with TRACKER .
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent interpersonal skills for effective communication with patients and team members.
  • Ability to work collaboratively within a team while also being self-motivated.

Responsibilities
  • Office Administration:
  • Manage patient scheduling and appointments to ensure efficient flow of patients.
  • Oversee the office’s daily operations, including answering phones, managing email communications, and handling patient inquiries.
  • Maintain office supplies and order inventory as needed.
  • Staff Management:
  • Hire, train, and supervise office staff (receptionists, dental assistants, hygienists, etc.).
  • Assign tasks, set schedules, and ensure that all team members are fulfilling their responsibilities.
  • Foster a positive and collaborative work environment.
  • Patient Relations:
  • Handle patient concerns and complaints professionally and resolve issues in a timely manner.
  • Ensure a high level of patient satisfaction and maintain positive relationships.
  • Review patient intake forms and update medical histories when needed.
  • Treatment planning & communication with patients about their treatment, coverage and financial alternatives
  • Financial Management:
  • Manage billing, insurance claims, and payment processing.
  • Oversee the office’s financial operations, including patient billing, payroll, and expense tracking.
  • Ensure compliance with insurance provider requirements and assist patients with billing inquiries.
  • Compliance and Record Keeping:
  • Ensure the office complies with all health regulations, HIPAA guidelines, and dental industry standards.
  • Maintain accurate and confidential patient records, both electronic and paper-based.
  • Assist with audits or inspections as required.
  • Marketing and Growth:
  • Develop and implement marketing strategies to promote the dental practice.
  • Handle social media accounts, patient reviews, and other forms of communication.
  • Assist with patient retention efforts and encourage referrals.
  • Technology and Systems:
  • Maintain and troubleshoot office software and hardware systems.
  • Ensure the practice’s dental management software is used effectively by the team.
  • Stay updated on new technologies that can improve office efficiency.
