Work Hours
Monday to Thursday: 8:00 AM – 4:30 PM

Key Responsibilities

  • Greet patients warmly
  • Answer phone calls and emails promptly, handling inquiries, scheduling appointments, and sending reminders.
  • Manage appointment calendars, including bookings, confirmations, cancellations, and rescheduling.
  • Prepare, update, and manage patient records and charts.
  • Verify insurance coverage, assist with billing, process payments, and provide receipts.
  • Maintain a tidy and inviting reception area; manage office supplies and equipment.
  • Assist with patient intake and administrative support (e.g. photocopying, faxing).
  • Monitor inventory levels (dental and office supplies), place orders, and manage vendor relationships.
  • Handle billing processes, insurance claim submissions, patient payments, and accounts receivable.
  • Implement, and enforce office policies, procedures, and protocols to improve efficiency and compliance.
  • Ensure compliance with health, safety, and dental regulations (including patient privacy handling).
  • Act as a liaison among dentists, staff, and patients to foster smooth communication and teamwork.
  • Address patient concerns or feedback professionally and effectively.
  • Participate in marketing and promotional efforts to attract and retain patients.

Qualifications & Skills

  • Education: High school diploma required; post‑secondary training (e.g., Dental Office Admin, Business, Office Management) is an asset.
  • Experience: 2–5 years in office administration; dental practice experience is preferred.
  • Proficient with office software and dental practice management systems (e.g. Abeldent).
  • Strong customer service, organizational, multitasking, verbal, and written communication skills.
  • Competence in financial processes, billing, budgeting, and attention to detail.
  • Familiarity with regulatory compliance, privacy laws, and maintaining a safe environment.
