Position: Dental Office Administrator / Receptionist

  • Identifies and notes patient preferences, ensuring patient records and charts are impeccable.
  • Processes all patients accounts with accuracy, responds to all fee inquiries in a positive manner.
  • Keeps the reception room patient ready, always ensuring operational excellence.

REQUIREMENTS AND QUALIFICATIONS:

  • Experience as a dental office administrator or receptionist.
  • Proven ability to optimize patient scheduling.
  • Knowledge of maintaining patient privacy and confidentiality.
  • Flexible schedule, with availability for evenings and weekends as needed.
  • Previous dental assisting experience (preferred).
  • Strong organizational and multi-tasking skills.
  • Punctual, reliable, and adaptable to diverse patient needs.
  • Excellent interpersonal skills.
  • Experience with dental practice management software ( Abeldent) is an asset.
Responsibilities
  • Answer telephone calls from patients and address them respectively and in a friendly manager when they visit the clinic.
  • Schedule patient appointments and communicate schedule openings with the dentist.
  • Register new patients in line with acceptable standards of the clinic.
  • Help patients fill out medical forms at the clinic to avoid errors and inaccurate information.
  • Explain clinical procedures and educate patients to help clarify any questions or concerns they may have.
  • Inform patients of in-house dental services offered by Monarch.
  • Ensure that patients are made aware of cancellation policies (2 business days notice).
  • Ensure that all patient files and documents are kept confidential and destroyed properly.
  • Respond to all patient inquiries in a professional and timely manner, including emails and phone calls.
  • Attends and actively participates in team meetings.
  • Contributes to the team by working with clinical and administrative teams equally.
  • Effectively manage recall system and accurately maintain patient database.
  • Optimizes the appointment schedule by ensuring the day is full, with limited gaps.
  • Manage patient calls, handling inquiries, confirmations, and appointment amendments.
  • Manage potential cancellations and overcome objections.
  • Processes referral letters and other patient correspondence upon receipt from provider.
  • Ensure all patient billings are accurate.
  • Follows the patient collection process and actively works to reduce accounts receivables.
