Position Summary The Department Administrator is responsible for working closely with and providing assistance to attorneys and staff in connection with matters relating to accounting and billing functions as well as providing support on organizational, administrative and practice specific matters. The ideal candidate must possess strong accounting and billing expertise, and the ability to identify and resolve issues. Candidates must demonstrate professionalism, excellent communication skills, attention to detail, the ability to handle multiple priorities, and work in an organized and efficient manner. Manages the billing and collections process, including review of reports prepared by the Revenue Department. Monitors attorney assignments and status of active client matters. Train new group members on administrative practices and requirements. Monitors, collects and reviews of time entries in preparation for generating client invoices. Generates a high volume of complex client invoices via Aderant. Edits Prebills via Prebill Viewer and Aderant based on the request from the Billing Attorneys. Ensures that all invoices are compliant with the billing guidelines and that all required supporting documentation is compiled prior to submission. Responds to billing inquiries. Handles and assists with the administrative tasks associated with opening new matters in workflow. Handles and assists with the preparation of engagement letters. Review of client matters prior to requesting them to be closed by the firm’s Accounting / Finance department. Ensures accurate and timely completion of assigned tasks. Undertakes special projects and ad hoc reports as needed and/or requested. Qualifications Skills & Competencies Excellent interpersonal and communication skills (oral and written), professional demeanor, and presentation. Effectively prioritize workload and adapt to a fast-paced environment. Highly motivated self-starter who can work well under minimal supervision, as well as take a proactive approach in a team setting. Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines. Strong analytical and problem-solving skills. Takes initiative and uses good judgment; excellent follow-up skills. Must be proactive in identifying billing issues and providing possible solutions. Must have the ability to work under pressure to meet strict deadlines. Ability to establish and maintain positive and effective working relationships within all levels of the firm. Education & Experience Bachelor’s Degree or equivalent experience in Accounting or Finance. Minimum 8+ years of experience as a Legal Biller required. Technology Aderant preferred, Prebill Viewer, E-billing Hub, Bill Blast. Computer proficiency in Microsoft Office Suite applications Proficiency in Excel required. #DNI The expected pay range for this position is: $145,000- $155,000 annually Salary will be determined based upon education, experience, job related factors permitted by law, internal equity, and market data, including geographic pay differentials in locations where market pay differs from the national average.
