QUALIFICATIONS

  • Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity exercising independent judgment and leading the work of others.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience.

KNOWLEDGE, SKILLS, & ABILITIES

  • Thorough mastery of: office methods, procedures, and practices; and correct English grammar, spelling, and punctuation. Expertise in using office software packages, technology, and systems.
  • Ability and specialized skills to: prepare letters, memos, and reports; transcribe minutes; make travel arrangements; analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions; apply judgment, discretion, and initiative in establishing priorities, providing follow-up and quality control.
  • Ability to use judgment and discretion to act when precedents do not exist; understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Communicate effectively both orally and in writing; establish and maintain cooperative working relationships; effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations; operate standard office equipment and software.
Responsibilities

Under general supervision of the Systems and Operations Management (SOM) Department Chair, the Department Coordinator provides administrative support to the SOM Department of the David Nazarian College of Business and Economics (DNCBE). The incumbent serves as a resource person for the Department Chair, the Director for the MS in Business Analytics program, faculty, students, and visitors.

  • Implements office procedures and manages office workflow; plans, organizes, coordinates and addresses problems proactively; frequently handles multiple projects and priorities; and provides budgetary support to the Department Chair, the Graduate Director, and DFO.
  • Assists with monitoring department expenditures and reconciling department funds; helps order supplies, equipment, and services, including the use of online chargebacks and requisitions; helps prepare schedule of classes each semester; manages the Department websites; and assists with faculty recruitment.
  • Helps maintain confidential files; processes faculty personnel documents; oversees graduate and undergraduate assistants and their payroll; manages student evaluations; and provides full back up support in the event of extended absence of the other department coordinator.
  • Performs other duties as assigned.
